This position is for an Executive Administrative Coordinator who is under minimal supervision supporting Executive and Vice President level personnel at Collins Aerospace. This role coordinates expense reporting, travel plans, and event planning. The individual will solve complex problems and assists in recommending, developing, and implementing new processes and analysis. The role will assist in leading lower-level staff in gathering, verifying, and processing documentation and relies on moderate to extensive experience and judgment to plan and accomplish assigned tasks.

What YOU will do:

  • Works under minimal supervision to perform clerical activities including but not limited to expense reporting in SAP, travel bookings, and general record keeping.

  • Schedules travel both domestically and internationally for the VP including flights, hotels, and car arrangements ensuring necessary documents and processes are followed in advance of trip.

  • Coordinates calendar meetings in Outlook for VP and other executive level personnel, across multiple time zones and prioritize conflicting requests.

  • Coordinates larger events for customers, team building, conferences and more, including logistics, guest speakers, conference rooms and more.

  • Responds to complex email and phone inquiries.

  • Leads lower-level staff in gathering, verifying and processing documentation.

  • Assists in recommending, developing, and implementing new processes and analysis.

  • Acts as office manager with oversight of records management.

  • Performs data entry and other normal office functions such as setting up and maintaining files, interviewing callers, and making proper referrals, arranging meetings and conferences and receiving, referring or answering mail.

  • Reviews drafts and finished documents for appropriate grammatical usage and answers questions relating to office operations and established policies and procedures.

  • May provide executive assistant services as a direct assistant to Senior Executives and General Managers.

  • Process expense reports and invoices in a timely manner in accordance with company policies and procedures.

  • Works collaboratively with other Executive Administrative assistants.

  • This includes working independently on special assignments, managing the Executive's schedule, processing and handling of confidential documents and other administrative duties.

Qualifications YOU Must Have:

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience

  • Must be a U.S. Citizen/Permanent Resident “Green Card” holder

  • MS Office Suite.

Qualifications We Prefer:

  • Experience using Zoom and Microsoft Office (Outlook, OneNote, PowerPoint, Word, Teams, or Excel, etc.)

  • Experience with calendar management, meeting scheduling and coordination, event planning, and generation of travel and expense reports.

  • Experience supporting multiple executives concurrently in a fast-paced environment

  • Familiarity with corporate travel booking tools and expense systems.

  • Experience coordinating off-site meetings or events as needed.

The salary range for this role is 53,100 USD - 100,900 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.
