Executive Admin – Hospital President

The Executive Admin to the Hospital President serves as a strategic partner and trusted liaison, enabling the President to effectively lead hospital operations, drive strategic priorities, and engage internal and external stakeholders. This role provides high-level administrative, operational, and project coordination support in a fast-paced health system environment, ensuring alignment across clinical, operational, and administrative functions.

The Executive Admin anticipates needs, manages competing priorities, and facilitates communication and execution on key initiatives. This position requires a high degree of professionalism, discretion, and the ability to operate independently while supporting enterprise-level objectives.

Essential Functions:

  • Serve as a key partner to the Hospital President, proactively managing priorities, workflow, and daily operations of the executive office.

  • Manage a complex, dynamic calendar that reflects operational, clinical, and strategic priorities; anticipate conflicts and ensure optimal use of executive time.

  • Coordinate executive engagement across hospital leadership, including clinical chiefs, nursing leadership, administrative directors, and system executives.

  • Prepare high-quality briefing materials, agendas, presentations, and reports for executive meetings, board interactions, and leadership forums.

  • Attend leadership meetings as requested; capture, synthesize, and track action items to ensure follow-through and accountability.

  • Act as a central point of coordination for key hospital initiatives, supporting project tracking, deadlines, and communication across departments.

  • Facilitate communication between the Hospital President and internal/external stakeholders, including physicians, board members, community partners, and regulatory bodies.

  • Support budget-related administrative activities, including expense reporting and tracking of executive office expenditures.

  • Coordinate logistics for leadership meetings, site visits, town halls, and external engagements.

  • Conduct research and compile data to support decision-making, operational reviews, and strategic planning efforts.

  • Maintain strict confidentiality while handling sensitive organizational, personnel, and strategic information.

Qualifications:

Education:

  • Bachelor’s degree required

Experience:

  • Minimum of 5+ years supporting senior executives, preferably at the C-suite or hospital leadership level

  • Prior experience in a healthcare or hospital environment strongly preferred

  • Experience supporting complex organizations with multiple stakeholders preferred

Knowledge, Skills, and Abilities:

  • Strong understanding of hospital operations and healthcare environment preferred

  • Exceptional organizational and prioritization skills in a high-demand, fast-paced setting

  • Advanced written and verbal communication skills, including executive-level correspondence

  • High level of discretion, judgment, and professionalism

  • Ability to anticipate needs and proactively resolve issues

  • Strong relationship-building skills across clinical and administrative teams

  • Proficiency in Microsoft Office Suite and collaboration platforms

  • Ability to manage multiple priorities with accuracy and attention to detail

  • Demonstrated ability to support strategic initiatives and project coordination
