What You Would Get To Do
The Events & Experiences Intern is an integral part of our team and will support various tasks within the project lifecycle. The role supports the project lead and project team in various aspects of the event, e.g., research of venues, suppliers, admin tasks, client meetings etc. The exact role per project is determined by the project lead at the kick-off stage, though can flex as project scope develops.
Your Contributions
Pitch Proposals
- Contribute ideas during creative brainstorming sessions
- Research suitable venues and suppliers for event deliverables
- Prepare pitch documents and presentation materials
Event Planning & Coordination
- Support and work in tandem with the events team on all aspects of delivering live events
- Maintain project documentation including Google slides and spreadsheets
- Update and distribute internal documents
- Offer proactive and creative ideas during the planning process
- Support in-office preparation tasks, including organizing materials, inventory management, and shipping logistics
- Travel to event locations as needed to provide on-site support for the planning team
Venue & Supplier Management
- Research appropriate project suppliers and venues, plus apps and new technologies, as required
- Maintain up-to-date supplier and venue database
- Compile related paperwork including contracting and onboarding requirements
General Duties
- Respond to inquiries via email, phone, or in person with professionalism and attention to detail.
- Support the team with general administrative tasks, mailings, and ad hoc projects as needed.
- Organize and maintain digital filing systems to ensure accessibility and compliance with company policies.
- Speak and write clearly in order to prepare written communications or provide instructions
- Maintain open communication with the team manager to address issues or challenges.
- Adhere to the company’s time-tracking policies and systems.
- Proactively contribute to a clean and organized office environment.
- Complete ad hoc requests and projects as assigned by internal teams.
- Show careful attention to regulations and internal policies.
- Act as an ambassador for the FIRST brand, leading by example and displaying the company’s core values (Ambition, Creativity, Excellence, Integrity, Teamwork)
- Stay updated on industry trends, emerging technologies, and best practices, sharing insights with the team.

What We Are Looking For
- At least one year of experience in a similar role
- Some experience with G suite, Zoom and Microsoft Office Suite
- Good oral and written communication skills
- Time management and prioritization skills
- Demonstrate excellent research and organization skills
- Flexible and willing to work outside normal business hours (evenings, weekends) and travel when required for site-visits and on-site management of events
- Resourceful individual with the ability to take direction
- Have an enthusiastic and positive approach
- Remain calm and positive under pressure.
