Position Summary

High West is seeking a reliable Event Coordinator to join our team and assist with the planning, coordination and execution of events at our three hospitality locations. In this role, you will be responsible for organizing the final details of events, ensuring the seamless execution of events, and providing exceptional customer service to all guests. You will work closely with the Sales & Event Coordinators to ensure all event details are executed to perfection, as well as developing and maintaining SOPs for the events team and program.

Responsibilities

  • Collaborate with Sales & Event Coordinators to ensure a smooth transition and take ownership of each event within two weeks of contract confirmation. Responsibilities include, but are not limited to, the planning and finalization of key event details such as timeline, floor plan, table settings, guest headcount, menus and dietary restrictions, for a wide range of events including corporate, social, branded, and weddings

  • Banquet Event Orders (BEO) process & event coordination in Triple seat

  • Participate in weekly BEO meetings, ensuring supplies, staffing, venue, and vendors are prepared

  • Oversee and execute events, including catering, bar service, activations, entertainment, and any other vendors as needed

  • Oversee all event spaces to ensure they are clean, organized, and meet the expectations of guests and event organizers

  • Address any issues or concerns that arise during events, including guest complaints, vendor issues, or logistical challenges

  • Ensure that all event-related documentation is completed accurately and in a timely manner

  • Collaborate with the Events Team on the planning, management, and execution of branded events throughout the year, taking ownership of assigned tasks such as event design and décor, budget management, vendor coordination, entertainment, and run of show.

  • Attend and support regular meetings with Event Team, and one on one meetings with the Event Manager

  • Work with the Event Manager to establish, refine, and elevate the Event Program and SOPs for the event team

  • Weekly event inventory & organization, coordinating ordering needs with AGM

  • Improve on existing event SOP as needed

Minimum Qualifications

  • Minimum of 2 years' experience in event coordination

  • Passion for hospitality and events with a willingness to do what is needed to produce the best experience for our guests

  • Strong interpersonal and communication skills

    • Verbal, written, listening & presentation

    • Ability to take direction and work with existing guidelines and processes

    • Ability to work with a diverse set of team members

    • Ability to communicate effectively with a diverse set of clients

  • Must be experienced with computers; to include Microsoft Office (Word, Excel and Power Point), Outlook, restaurant reservations, POS and event management software

  • Demonstrate a high level of follow through and ability to meet multiple deadlines

  • Strong organizational and time management skills

  • Motivated, self-starter able to work individually and in a team

  • Dedication to providing excellent customer service

  • Willingness to work a flexible schedule, including days, evenings, weekends and holidays

Physical Requirements/Work Environment

      Physical Requirements: The employee frequently is required to sit or stand for long periods of time.  The employee is occasionally required to lift and/or move objects up to 55 pounds.  Frequent walking, including going up and down stairs and bending are required.

      Work Environment: Working conditions at an event may require the employee to be outside for extended periods of time and/or occasionally in a kitchen with slippery floors.  Irregular shifts, nights, weekends, and long hours may be required, particularly when working an event.

The salary range for this role is:

$21.62 - $30.47

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting.  Our compensation is based on cost of labor. For remote locations or positions open to multiple locations, the pay range may reflect several US geographic markets, including the lowest geographic market minimum to the highest geographic market maximum. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but not limited to, the prevailing minimum wage for the location, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.  At Constellation Brands, it is not typical for an individual to be hired at the high end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.
