The Impact You'll Make

As an Events Associate you will ensure a seamless and professional experience for event attendees through meticulous registration management and onsite coordination.  This role will support the success of Stout sponsorship conferences and events by delivering high-quality branding, materials, and logistical execution.  This Associate will play a key role in contributing to the growth and refinement of Stout’s event strategies.

What You'll Do

Registration Administration for Stout Events

  • Set up and manage the registration system according to event needs.
  • Oversee the registration process leading up to and during events, including onsite implementation.
  • Serve as the onsite point person at the registration desk for the duration of events.
  • Prepare attendee badges and coordinate shipments of registration materials to and from events.
  • Maintain and order registration supplies inventory as needed.
  • Pull post-event registration reports for analysis by the Events Director and client.
  • Order "swag" bag items for assigned events.

Sponsorship Events Coordination

  • Partner with the Events Director to provide support for Stout sponsorship conferences and events.
  • Collaborate with marketing partners to develop collateral for sponsorship events.
  • Ensure branding materials are shipped to and from event locations.
  • Provide onsite event support for sponsorship events when required.

HubSpot System Management

  • Create and manage invite lists for client-facing events.
  • Collaborate with the Marketing team to develop and send event invites.
  • Track attendee numbers and update clients on RSVPs for assigned events.
  • Distribute post-event feedback surveys to attendees.

Branding and Meeting Supplies Inventory Management

  • Maintain and manage branding and meeting supplies inventory.
  • Work with the Events Director to assess branding and supply needs for events.
  • Coordinate the shipment of branding materials and meeting supplies to assigned events.

What You'll Bring

  • Strong organizational and multitasking skills, with the ability to manage multiple responsibilities and deadlines.
  • Attention to detail for managing registration systems, attendee lists, and event logistics.
  • Proficiency in tools such as registration systems and HubSpot (or willingness to learn).
  • Team-oriented approach, with the ability to collaborate effectively with Events Directors, marketing partners, and clients.
  • Communication skills to serve as the onsite point of contact and coordinate with event stakeholders.
  • Problem-solving mindset to handle logistics, inventory management, and onsite challenges.
  • Flexibility to travel and provide onsite support as needed.

How You'll Thrive

You will gain hands-on experience in managing event registration processes from start to finish, including preparation, execution, and post-event reporting.

A reasonable estimate of the current range is $65,000 - $70,000 annually. This role is also anticipated to be eligible to participate in an annual bonus plan.
