Purpose of Position

The Events Associate will play a key role in supporting the planning, coordination, and delivery of Pantheon-hosted and third-party events, including conferences, webinars, and client engagement activities. This role is ideal for an enthusiastic, detail-oriented individual looking to develop a career in event management within the Financial industry.

Working closely with the Events Manager, the Events Associate will assist with all stages of event execution - from research and logistics to on-site delivery and post-event analysis - ensuring that all events reflect Pantheon’s high standards and support its brand and business objectives.

Key Responsibilities

Event Planning & Coordination

  • Assist with end-to-end logistics for Pantheon-hosted and sponsored events, including venue research, vendor coordination, delegate management, and on-site support.
  • Support the execution of Pantheon’s annual flagship events, such as the Annual Investor Meeting.
  • Coordinate event materials and collateral in collaboration with the Marketing team (e.g., invitations, signage, presentations).
  • Maintain and update the central event calendar, ensuring visibility across the business.

Stakeholder & Vendor Support 

  • Liaise with internal teams to gather input, align objectives, and ensure event messaging consistency.
  • Support the sourcing and contracting of external suppliers (venues, catering, AV, photography, etc.).
  • Help manage delegate communications and assist with registration processes (Cvent experience desirable).

Marketing & Communications

  • Assist in the development and execution of pre- and post-event marketing campaigns across email, web, and social media channels.
  • Coordinate with the design and digital teams to ensure event branding aligns with Pantheon’s visual identity.
  • Support with event-related content updates on the corporate website and other digital platforms.

Event Measurement & Reporting

  • Collect and analyze attendee feedback to support continuous improvement.
  • Assist in compiling post-event reports, metrics, and lessons learned.
  • Maintain budget trackers and assist in processing invoices and reconciliations.

General

  • Stay informed on industry trends and event best practices.
  • Ensure compliance with relevant internal policies, processes, and regulatory requirements.

Knowledge and Experience Required

  • Demonstrable experience in event coordination or marketing, ideally within financial services, private equity, or asset management.
  • Strong organizational skills and attention to detail, with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (PowerPoint, Word, Excel) essential; experience with Adobe Creative Suite advantageous.
  • Familiarity with tools such as Cvent, WordPress, and Dotdigital desirable.
  • A proactive, team-oriented approach with a willingness to learn and take initiative.

  • Expected base salary range: $100 - $120k
  • Actual base salary is determined by a range of factors including individual experience, skills and qualifications. 

In addition to the above salary, Pantheon offers a generous employee benefits package and successful candidates are eligible to receive a discretionary bonus.
