Position Overview

The Ohio State University Comprehensive Cancer Center – Arthur G. James Cancer Hospital and Richard J. Solove Research Institute (OSUCCC – James) and The Ohio State University Wexner Medical Center seeks a collaborative, mission-driven Events Associate. The Events Associate serves as a member of The OSUCCC - James and OSUWMC fundraising team and assists in the development and implementation of long- and short-term plans to secure fundraising support from grateful patients and families, friends, volunteers, corporations and other entities via third party events and initiatives in support of the mission, objectives and priorities as set by the medical center leadership and Associate Director, Event Management. In addition, the Events Associate will oversee and manage select internal fundraising events and support Signature Events team members as needed.

The aim of this role is to work in partnership with the development team to raise money and awareness for OSUWMC/James initiatives and programs. The Events Associate manages a portfolio of Community Partners and institutional fundraising events, collaborates with the marketing department for event print communication, promotional product and media needs including website content updates; coordinates with stewardship officer for donor relations.

The Events Associate reports to the Manager, Event Management and is expected to have strong verbal and written communication skills, the ability to work independently and with a team, be resourceful and a self-starter, have strong organizational and computer skills, including demonstrated software and data management skills, the ability to travel and work a flexible schedule, including overnight travel, evenings and weekends, and provide high-level/ professional customer service.

The OSUCCC – James strives to create a cancer-free world by integrating scientific research with excellence in education and patient-centered care — a strategy that leads to better methods of prevention, detection and treatment.
 

Ohio State is one of 51 National Cancer Institute (NCI)-designated Comprehensive Cancer Centers and one of only a few centers funded by the NCI to conduct both phase I and phase II clinical trials on novel anticancer drugs sponsored by the NCI. As the cancer program’s 356-bed adult patient-care component, OSUCCC – James is one of the top cancer hospitals in the nation as ranked by U.S. News & World Report and has achieved Magnet® designation, the highest honor an organization can receive for quality patient care and professional nursing practice. Duties and Responsibilities

Community Partners Program Events Management: Manages third party events supporting The James/OSUWMC coordinated by community members, donors, and volunteers. Partners with major gift officers to develop community donor relationships and increase donor prospects from community participants and organizers. Manages all incoming requests for fundraising events and cause-related marketing initiatives, collaborate with marketing and legal teams to evaluate and execute agreements and uphold brand guidelines. Manages tracking system for all donor contacts, community partners event income, resources, funds supported, speakers and committee members. High level of interaction with medical center and university leadership; prepares event briefings and talking points.

Represents the James/OSUWMC at community events, as appropriate, to acknowledge and thank our supporters. Develops and oversees the budget related to community events and receipt process of donors, including fiscal reporting. Using Community Partners Guidelines, communicates with donors and community supporters on coordination of external events and donation process. Facilitate use of appropriate language, reference and logos for all external event promotional items. Manages speaking requests and arrangements for The James/OSUWMC representatives. Corresponds with donors and supporters from initial contact through follow-up and acknowledgement.

Collaborates with OSU and OSUWMC Development Communications/Marketing for promotion, printed materials and media of appropriate events and initiatives, including development of website content. Creates and promotes tools for organizers(self-starter kits, checklists, etc.). Reports to development team, leadership and board members on annual income, initiatives and community involvement. Manages inventory of program resources. Internal Fundraising Events: Oversees event management and production of select OSUWMC/James Development fundraising events. Directs event-related committees and volunteers including scheduling and managing meetings, overseeing committee volunteer roles and responsibilities and managing committee communications. Collaborates with OSUWMC/James Marketing and Communications to create print materials, scripting, media relations and organization messaging. Oversees and manages event budgets and fiscal reports. Manages vendor relations, creates and manages event timelines, program production, event logistics and details.

Required Qualifications

  • Bachelor's Degree or equivalent combination of education and experience

  • Two (2) years of relevant experience.

  • Two (2) years of experience planning and implementing small to large-scale events.

  • Ability to be stationary for hours, be mobile and lift 25-50 lbs

  • Ability to work a flexible schedule including evenings and weekends.

  • Master's Degree or equivalent combination of education and experience

  • Four (4) years preferred minimum years of relevant experience

  • Four (4) years of event management experience

  • Experience planning events in a non-profit or health care setting.
