WHAT YOU WILL DO:
- Serve as the first point of contact and trusted liaison for the Hardware Solutions team, building and maintaining strong relationships with partners and stakeholders across the organization
- Exercise judgment to assess, prioritize, and triage incoming event and deployment requests, evaluating complexity, risk, urgency, and business impact to determine the appropriate course of action
- Make capacity-based decisions by evaluating team bandwidth, schedules, PTO, and workload to assign the right Production Manager to each request and balance workload across the team
- Provide tailored, polished, and professional responses to partners, adapting communication style and level of detail to the audience and situation
- Proactively identify and escalate risks, conflicts, and timeline issues — exercising discretion on when to flag to leadership versus resolve independently
- Attend weekly partner meetings, represent the team in cross-functional discussions, and contribute institutional knowledge and context that informs decision-making
- Validate request details including event logistics, shipping, device requirements, and imaging needs — applying contextual knowledge to catch errors, gaps, or unrealistic expectations
- Navigate ambiguous or non-standard requests by consulting runbooks, coordinating with cross-functional partners, and applying program-specific knowledge to determine the right path forward
- Build and maintain partner trust by setting clear expectations, providing consistent follow-through, and delivering a high-touch service experience throughout the intake process
- Reserve and coordinate hardware inventory for event and deployment requests, making judgment calls on availability, warehouse selection, and forecasting
- Manage sensitive situations including PII handling, declined requests, and unresponsive partners with professionalism and adherence to policy
- Interface with executive and high-profile partners and requestors with a high level of professionalism, discretion, and urgency
- Handle confidential information related to unreleased products, prototypes, and high-profile events with VIP audiences — maintaining strict adherence to NDA and security protocols
- Provide occasional onsite event support — including setup, technical assistance, and day-of coordination
- Support triage coverage during team absences, making real-time prioritization decisions and ensuring continuity of service for partners
- Identify opportunities to leverage internal tools and automation to improve processes, while maintaining the human oversight required for quality and partner satisfaction
- Maintain departmental workflow procedures, documentation, and familiarity with program-specific runbooks
- Adhere to all SOPs and participate in operational excellence programs dedicated to continuous improvements within workstream
- Any other duties, responsibilities, and projects as dictated by leadership
KEY RESPONSIBILITIES:
- 1–3 years of experience in event coordination, operations support, or project coordination, preferably in the technology industry
- Strong interpersonal and relationship-building skills with the ability to serve as a trusted point of contact for partners and stakeholders
- Excellent verbal and written communication skills with the ability to craft professional, client-facing responses tailored to the audience
- Demonstrated judgment and critical thinking skills — able to assess competing priorities, evaluate risk, and make sound decisions independently
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong attention to detail, particularly when reviewing request details, inventory data, and logistics information
- Ability to work both independently and cross-functionally with partners and support teams
- Comfortable working in a KPI-driven environment with accountability for response time and resolution targets
- Proficiency with collaborative productivity software; G-Suite, project management tools, and inventory management systems
- Experience with workflow automation tools and task management platforms a plus
- Ability to quickly learn and adapt to new internal tools, systems, and processes
- Knowledge of or interest in mixed reality, wearables, and consumer technology a plus
- Ability to travel if required for onsite event support
