NRF Poland is seeking a detail-oriented and organized Evening Secretary to provide administrative support during evening hours, ensuring smooth office operations and efficient communication.

Role overview

  • Manage incoming and outgoing correspondence, including emails, letters, and packages.
  • Answer and direct phone calls, taking messages and providing information as required.
  • Prepare and format documents, reports, and presentations using various software applications.
  • Maintain and organize physical and digital filing systems, ensuring confidentiality and accessibility.
  • Schedule and coordinate appointments, meetings, and travel arrangements.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Assist with data entry and basic bookkeeping tasks.
  • Provide general administrative support to various departments as needed.
  • Ensure the office environment remains tidy and organized.
  • Adhere to company policies and procedures, particularly regarding data privacy and confidentiality.

Experience required

  • Proven experience as an administrative assistant, secretary, or in a similar administrative role.
  • Excellent written and verbal communication skills in Polish and English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • High level of attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Discreet and able to handle confidential information with integrity.
  • Positive attitude and strong interpersonal skills.
  • Flexibility to work evening hours.
  • High school diploma or equivalent; additional secretarial training or certification is a plus.
