Job summary

Program Coordinator supports program execution across distributed teams by running the operational cadence that keeps initiatives moving: attending key agile ceremonies to surface blockers early, maintaining follow-ups on time-sensitive work, coordinating planning logistics, and improving visibility through Jira reporting. This role reduces coordination drag across multiple teams so delivery risks, dependencies, and decisions don’t get lost between meetings. The Program Coordinator also serves as a local point of contact (“boots on the ground”) for supported teams in the region and coordinates communication between team members to ensure information is shared effectively.


Key responsibilities

  • Program Manager Collaboration
  • Works directly with program managers and assist with day-to-day needs

Delivery cadence & risk visibility

  • Attend standups and sprint planning to help surface blockers, delays, and risks that may not otherwise be raised
  • Help ensure teams are pulling appropriate work in sprint planning and that commitments stay visible through the sprint
  • Capture and distribute notes, decisions, action items, owners, and due dates; ensure follow-through

Follow-up on time-sensitive work (EOL / Collaboration Agreements / Adoption)

  • Maintain ongoing follow-up on the EOL and CA list
  • As dates approach, confirm items are on track and escalate risks early when timelines or ownership are unclear to program management team
  • Provide coordination and tracking support for adoption work as it grows (e.g., readiness follow-ups, action tracking, status visibility)

Governance & change management (CCB)

  • Facilitate the Change Control Board (CCB) process by ensuring tickets are fully documented, reviewed, and approved according to protocol
  • Track approvals and update statuses (e.g., CCB-approved) to keep work moving and avoid late-stage surprises

Ticket lifecycle management

  • Act as a primary gatekeeper for IAM/TID tickets, moving them through the review pipeline to prevent bottlenecks in the development cycle
  • Maintain clear ownership, aging, and escalation paths for stalled items

Jira administration, dashboards, and reporting

  • Support Jira administration tasks such as creating projects/boards as needed
  • Create and maintain Jira dashboards to track the health of initiatives and epics
  • Translate Jira data into clear, visual progress reporting for program leadership

Quarterly planning coordination

  • Coordinate quarterly planning logistics (e.g., scheduling pre-planning and planning sessions)
  • Help maintain clarity when multiple owners are running initiatives in parallel
  • Work and collaborate with matrixed program teams to ensure deliverables are on time and being tracked

Communications

  • Own the end-to-end process for the Platform newsletter, including gathering updates from engineering, drafting content, and managing the review/approval loop
  • Ensure newsletters go out on time

Qualifications (required)

  • 2+ years of experience in program coordination, project coordination, event planning, operations, or a related role
  • Strong organizational and time-management skills, with the ability to manage multiple workstreams in parallel
  • Strong written and verbal communication skills, including facilitation and crisp documentation
  • Working knowledge of Jira, including comfort with light administration work and reporting
  • Proficiency with collaboration tools (e.g., Google Suite, Miro)
  • High attention to detail and consistent follow-through

Preferred qualifications

  • Experience supporting agile delivery teams (standups, sprint planning, RAID tracking)
  • Experience facilitating change control / governance workflows (e.g., CCB)
  • Experience creating and maintaining Jira dashboards for initiative health reporting
  • Familiarity with program or process methodologies (e.g., PMP, Six Sigma, Lean)
