About the External Expert Engagement Organisation:

The External Expert Engagement Organisation is GSK’s central strategic capability to drive smooth, seamless and compliant engagement of Health Care Providers (HCP), External Experts (EE) and Health Care Organisations (HCO) across the globe. We are an integral part of Commercial Practices with the objective to lead and provide HCP/EE and HCO Engagement subject matter expertise, supporting the delivery of Promotional and Non-Promotional engagement programmes. The Engagement Specialist is responsible for fulfilling the engagement process as part of the enterprise operational service hub model ensuring that GSK BioPharma (Pharma and Vaccines Business and R&D) engages HCPs, EEs and HCOs for cross border and within country activities (e.g. Congress Sponsorships, Sponsorship of Third Party Meetings, GSK Standalone Meetings, Speaker programmes, Advisory Boards and Consultancies) efficiently and in compliance to all relevant global and local legal and regulatory requirements for contracting, payment and financial disclosure.

Preferred Experience:

• Pharma Industry experience
• Knowledge of R&D clinical development and/or medical affairs
• Technical support specialists experience
• Project Coordination/management experience.
• Ability to work effectively with stakeholders across multiple functions and geographies to deliver a consistent approach.
• Self-motivated; works as part of a highly matrixed global team.

The External Expert Engagement Organisation Engagement Specialist provides a service that is high priority in ensuring that GSK continues to comply with internal and external regulations that encompass compliant engagement of HCP/EE and HCOs. The role will be integral to the improvement of efficiencies in the EEE Organisation’s engagement processes and deliver consistent and compliant ways of working.

Key elements of the role:
Utilising existing systems tools and ways of working to enable effective, consistent, and compliant delivery of Health Care Organisation, Health Care Provider and External Expert Engagements.

• These include (in conjunction with Senior Engagement Specialist and HUB Regional Director)
• Maintaining and enhancing existing process to support the continued business, ensuring that both system and process remain fit for purpose within a changing external and internal environment.

Support specific core HCP/EE and HCO Engagement processes for GSK Pharmaceuticals and ViiV Healthcare.

Responsibilities include:

• Maintain specific core Engagement processes specific to enterprise Health Care Organisation, Health Care Provider and External Expert requirements and aligned with GSK Code of Practice and SOP-017972.
• Deliver operational support services to support specific therapy aligned Health Care Organisation, Health Care Provider and External Expert engagements for local and cross-border/above country sponsored activity as required.
• Ensure customer queries are dealt with in a timely manner
• Ensure Health Care Provider/External Expert travel is booked compliantly in line with GSK policy.
• Maintain documentation compliance and retention to required standards
• Assist in the delivery of level 1 quality framework (checklists) and support of QA audits (level 2-3).
• Support a culture of continuous process improvements through regular end to end process reviews
• Provide input into the design of appropriate training programmes and materials to support all staff training needs (e.g. e-learning modules, ways of working Navigator pages, process micro-sites, process flows, checklists).
• Ensure payments to HCPs and HCOs are paid on time in accordance to GSK payment processes
• Adhere to quality monitoring frameworks to assure senior management of the delivery of HCP and HCO payments and TOV activities in accordance with internal standards and external regulatory and legal requirements.

Basic Qualifications:
We are looking for professionals with these characteristics to achieve our goals:

• Studies in Business Administration, Project Management or similar careers.
• 1+ years of experience in projects coordination or administrative roles.
• English, advanced level both written and spoken
• Microsoft Office Knowledge
