The Donor Experience Associate for the University Libraries is responsible for assisting with the development, implementation, and management of comprehensive programs that ensure donors are thanked, recognized, and shown the impact of philanthropic support. The associate also provides professional front-line support for the Senior Director and Director of Development and Assistant Director of Development.
The associate will review, coordinate, maintain and prioritize complex schedules and visits; proactively plan for meeting needs including agendas, briefings, and other written materials including for the Dean’s Advisory Council; arrange and coordinate travel plans; submit reimbursements and other financial paperwork; and screen and handle sensitive, confidential and/or complex inquiries.
This position interfaces with a variety of people including major donors, volunteers, university leadership, faculty, staff, and the general public; creates and maintains highly confidential reports and records; types technical and/or confidential materials; records and transcribes minutes.
Proficiency in MS Office products and the ability to work in an environment where priorities can shift on a regular basis is expected.

Assists with comprehensive donor relations and stewardship programs for various levels of giving that meet the needs of our constituents; identify, recommend and implement programs to acknowledge, recognize, and report on key donor segments; update and maintain donor acknowledgment letters; work with internal partners to gather information in order to provide regular updates to donors on how gifts are being used; manage Friends of the Library recognition program; administer gift-in-kind acknowledgment process; produce creative collateral for donor recognition and stewardship programs; work with Advancement Services team to ensure that all gifts, pledges, and commitments are properly acknowledged; and partner with Ohio State Office of Advancement to create stewardship and impact pieces and special donor experiences. Coordinates stewardship and solicitation plans for top Libraries donors.

Provides daily administrative support to Libraries development team including managing and processing confidential and sensitive correspondence; reviews and prioritizes incoming phone calls and electronic and written mail; reviews, coordinates and maintains schedule of activities and calendar; records, transcribes minutes and distributes appropriately; organizes and prepares agendas and itineraries; anticipates, researches, and prepares materials for internal and external meetings.

Coordinates materials for donor visits and creates donor briefings; arranges and coordinates travel plans for the Libraries development team, including complex donor-centered activities and travel; and prepares and submits reimbursement of expenses, adhering to established financial policies and procedures

Serves as primary liaison to The Ohio State University Alumni Association for annual giving and digital fundraising efforts. Coordinates with the Libraries Outreach & Engagement team for development donor events. Collaborates with Central Advancement stewardship and Libraries marketing and communications team and engagement staff, volunteers, and donors to achieve strategic objectives.

Manages, maintains, and updates constituent information within The Advancement System (TAS); tracks stewardship activities; and maintains and safeguards donor contribution records of a highly confidential nature. Performs other duties as assigned.
Required Experience:
Bachelor’s degree in marketing, communications, business or related field or equivalent education and experience.
Desired Experience:
At least 1-year of experience working in fundraising, donor relations/stewardship, donor communications and/or alumni relations. Experience with Ohio State’s proprietary constituent database (TAS). At least 1-year of administrative support experience. Demonstrated success planning meetings/events. Experience working with senior leadership. Proficiency in customer relationship management systems (CRM). Customer service experience in a complex environment. Proven project coordination skills and communication skills, both written and verbal.
Posting Range
The posting range for this position is $21.35-$25.00 per hour.
