A Brief Overview:
The Document Scanning Representative is responsible for converting paper-based medical records and documents into electronic formats. This role ensures the accurate, secure, and organized management of medical records, contributing to the hospital's commitment to efficient patient care and regulatory compliance.

What you will do:

  • Operate document scanning equipment to convert paper medical records, reports, and other documents into electronic formats.

  • Accurately index and categorize scanned documents for easy retrieval.

  • Review scanned documents to ensure image quality, completeness, and accuracy.

  • Perform quality checks on indexed data to verify the correct placement and organization of electronic records.

  • Enter relevant data, such as patient information, document type, and date, into the hospital's electronic record management system.

  • Organize and maintain electronic records following hospital protocols and naming conventions.

  • Adhere to strict confidentiality and security protocols when handling sensitive patient information and records.

  • Ensure compliance with HIPAA regulations and hospital policies.

  • Collaborate with medical records department staff to prioritize and manage the scanning workload effectively.

  • Communicate with other departments regarding scanning requests and requirements.

  • Perform routine maintenance on scanning equipment and troubleshoot minor technical issues.

  • Report equipment malfunctions or service needs to the appropriate department.

What you will need:

  • Education: High School Diploma Required

  • Experience: Prior experience in document scanning or similar roles is a plus.
