About the role

We are currently looking for a Document Controller in an ongoing construction project who will be responsible for ensuring efficient document control, record management, project administration, and compliance with the approved Management Information System (MIS).

 

Key Responsibilities:

  • Establish and maintain a fully structured Document Management System (DMS), ensuring complete traceability, version control, secure storage, and efficient retrieval of all project documentation.
  • Register, track, distribute, and archive all incoming and outgoing correspondence, drawings, specifications, RFIs, IRs/MIRs, submittals, MOMs, transmittals, QA/QC documentation, and contractual communications.
  • Ensure that all drawings and documents carry correct revision numbers, dates, statuses (TD, GFC, IFC, As-Built), and authorization signatures before circulation.
  • Maintain a secure archive of all historical revisions to support audit trails, contractual reviews, and claim analysis.
  • Periodically review, update, and optimize the DMS to ensure efficiency, compliance, and alignment with Client and ISO 9001 requirements.
  • Coordinate with the Client, Contractors, Consultants, and PMC team members to ensure timely and controlled distribution of documents.
  • Prepare and circulate weekly dashboards summarizing the status of submittals, RFIs, QA/QC documentation, drawing revisions, and other key project indicators.
  • Ensure that all documentation practices comply with contractual requirements, the Client’s MIS standards, and internal SJ procedures.

 

About You:

  • Bachelor’s degree in any discipline (Business Administration, Engineering, IT, or related field preferred).
  • Minimum 10–12 years of relevant experience in document control or office administration within construction, engineering, consultancy, or PMC environments.
  • Prior involvement in large-scale building or infrastructure projects will be an added advantage.
