Nature and Scope

Reporting directly to the CMD and Global Documentation Manager. This position is responsible for administration of the documents in the OpenText application for the assigned region (Asia/Americas/Europe) and works with the central document management team. This position requires a high level of attention to detail, accuracy, and excellent coordination skills. 

PRINCIPAL ACCOUNTABILITIES

This position is accountable for the following end results:

  • Solid understanding of document life cycle process and hands on experience with concepts such as document tracking, document retention, archiving, version history, document revisions, document upload, management of change etc.

  • Administer and maintain documents in the OpenText repository. Perform repeatable tasks like Document Uploading, Document Revision control, Document Publishing in OpenText.

  • Publish documents in OpenText and assign proper metadata.

  • Understanding of document types and experience working with various types and formats of documents (word/pdf/tiff/jpg etc.).

  • Ability to work with document dashboard that displays more than 5000 documents at a single time. Perform transactional activities like export of documents, analyze attributes/metadata clean-up, extract reports in excel (pivot/graphs etc.)

  • Ensure full alignment of the overall document management process with the Global procedures and job-aids.

  • Identify opportunities for process improvements in the Document Management System and work with Global Administrator(s) and Regional Power Users to implement the same.

  • Generate audit reports from OpenText to identify document compliance issues.

  • Familiarity with SAP structure (functional location, equipment, plant) is mandatory for this role.

  • Frequent interactions (email/phone) are needed with project engineers/global administrators.

JOB REQUIREMENTS

  • Candidates with a Diploma or Degree in Engineering. Applicants holding a Bachelor degree in related fields - such as Operations Management, Computer Science are also encouraged to apply.

  • Minimum 1 year of professional document control or engineering support experience.

  • Working experience in using SAP or OpenText.

  • Experience in Oil & Gas, chemical processing, or allied industry is an added advantage.

  • Familiarity with document types such as drawings, technical documents, electrical, controls, instrumentation etc.

  • Detail oriented and ability to work at a steady pace without compromising on quality.

  • Ability to work independently, and also as a team player demonstrating excellent collaboration.

  • Ability to work with different cultures involving multiple regions across the globe.

  • Be Flexible, attention to detail and excellent communication skills (email and spoken English).

  • Able to read/understand Chinese is a plus for this role.

  • Ability to work flexible hours (night meeting 2-3 times per month).
