The Position
The Document Control Specialist plays a pivotal role in advancing the organization’s compliance culture by supporting the development, implementation, and continuous improvement of compliance programs. This position is primarily responsible for ensuring that project documentation and data management processes are robust, efficient, and aligned with organizational standards as the company moves into Sitetracker, an industry specific tool built on Salesforce. The Specialist will collaborate closely with business units to monitor compliance, identify and resolve gaps, and drive adoption of best practices. Success in this role requires the ability to communicate effectively, manage competing priorities, and proactively address challenges.
Key Responsibilities
- Project Document & Data Management:
- Conduct comprehensive reviews of all new projects to identify missing or incomplete documents and data according to standardized checklist for Sitetracker implementation. Liaise with business units to locate and load missing documents and data. Track resolution of outstanding documentation and follow up as needed.
- Train business units on the proper document creation, approval, execution, and storage processes.
- Participate in project turnover meetings ensuring all required documents are properly stored and data fields are complete prior to handoff.
- Regularly audit active projects have complete documents and data based on standardized checklist.
- Collaborate with business units and Business Systems & Analytics team to implement lessons learned and user feedback to improve document and data collection.
- Report out on KPI’s set for document and data management to business units and upper management.
- Compliance & Administration:
- Manage policy and procedure repository which includes:
- Supporting business units through policy and procedure development, revision, and publishing, and annual review processes.
- Fielding questions from business units on policies and procedures.
- Support annual risk management processes as needed.
- Support board governance including meeting materials preparation, agenda development, and deliverables tracking as needed.
- Support build-out and maintenance of business-unit compliance trackers.
Required Qualifications
- Minimum 3-5 years’ experience in Document Control, Data Management, Legal Operations, Compliance or in a similar documentation-heavy role.
- Strong organizational and communication skills.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and manage multiple priorities.
Preferred Qualifications
- Experience maintaining content on an enterprise platform with tracked KPI’s.
- Experience with Salesforce or similar customer relationship management (CRM) tools.
- Experience with contract lifecycle management (CLM) systems.
- Understanding of construction or infrastructure project workflows.
