Distribution Operations Specialist

Job Profile Summary

Provides administrative and operational support to the Distribution team within an insurance syndicate. The role focuses on the smooth running of broker relationship activity (including reporting, finance, governance, systems updates and coordination), enabling Relationship Managers to prioritise external engagement. The postholder will have a good understanding of the London Market insurance distribution environment, excellent attention to detail and a proactive, service-oriented approach.

Job Description

  • Act as the operational point of contact for the Relationship Management team, coordinating day-to-day administration and ensuring tasks are progressed and tracked to completion.

  • Maintain accurate broker records in relevant systems (e.g., CRM and internal trackers), including contact details, ownership, segmentation, visit logs, meeting notes and agreed actions.

  • Coordinate onboarding and offboarding activities for brokers / partners as required (e.g., due diligence packs, internal introductions, distribution approvals workflow support, and maintenance of required documentation).

  • Support planning and coordination of broker meetings, market visits and events (scheduling, agendas, papers, attendee lists, logistics and follow-up actions), ensuring appropriate records are retained.

  • Produce and maintain management information for Distribution (e.g., relationship activity, broker contact coverage, meeting cadence, actions tracking, pipeline snapshots), ensuring data quality and timely delivery.

  • Support budgeting, invoicing and monitoring of broker invoicing and agreements

  • Provide support to Distribution governance where required (e.g., preparing packs, circulating materials, taking minutes, maintaining decision logs and tracking actions through to closure).

  • Maintain document control for Distribution materials (e.g., broker presentations, proposition documents, service levels, visit reports and templates)

  • Liaise with internal stakeholders (Underwriting, Operations, Finance, Compliance, Claims and Marketing) to coordinate responses and ensure distribution-related requests are progressed efficiently.

  • Identify opportunities to improve distribution administration processes, controls and reporting documenting procedures and supporting consistent ways of working across the team.

Skills and Competencies

  • Understanding of London Market insurance distribution and the role of brokers and managing agents.

  • Proven administrative and operational support experience within a client/relationship management, underwriting, broking or market-facing environment.

  • Excellent organisation and prioritisation skills; able to manage multiple requests, maintain trackers, and meet deadlines with minimal supervision.

  • Attention to detail and data quality mindset, with confidence producing MI and maintaining accurate records.

  • Systems literate, with experience of CRM platforms and strong Microsoft Office skills (particularly Outlook, Excel and PowerPoint).

  • Clear, professional communication skills, able to coordinate across internal teams and support Relationship Managers with timely, accurate information.

  • High levels of discretion and integrity when handling confidential information and sensitive relationship matters.

  • Proactive and solutions-focused, with an interest in improving team efficiency, controls and ways of working.

Education

  • Educated to A-Level (or equivalent) as a minimum

  • Cert CII or working towards would be advantageous
