Job Description:
PURPOSE: The Director of Auxiliary Services within the Department of Operations is responsible for overseeing and managing university auxiliary entities. This includes Campus Mail Services, ID Card Services, Campus Parking & Decals, and auxiliary-related financial functions.
The Director also provides direct management of student payment plans, the T2 Parking System, and the Transact Meal Plan System.
RESPONSIBILITIES:
- Provide communication to students about new and updated meal plan options.
- Serve as the point of contact for any student/employee meal plan issues.
- Manage the Transact Meal Plan System, including adding and updating student meal plans each semester, generating system reports, reconciling meal plan charges, and ensuring timely communication with campus partners.
- Manage the creation and implementation of online e-Markets for various departments.
- Serve as the point of contact for Xerox, Pitney Bowes, and FedEx contracts.
- Oversee and manage the T2 Parking System, including system administration, parking permit/decal management, report generation, coordinating semester updates, and supporting enforcement and appeals processes.
- Manage the parking patrol student workers, ensuring efficient coverage and appropriate training.
- Assist Oaks employees in ensuring proper housing charges are posted to student accounts, such as rent, activity fees, and room reservations.
- Prepare planning and evaluation forms and conduct review sessions for all employees within Auxiliary Services.
- Ensure compliance with established policies and procedures and create new policies as needed.
- Serve as a campus resource for 25-Live (campus reservation system)
- Serve as a backup for reservation management, including booking and billing for all campus room rentals, and act as a liaison between the external requester and necessary campus authorities.
- Track monthly revenues versus expenditures for auxiliary entities.
- Participate in and/or advise committees, user groups, and meetings regarding policies and procedures within the Operations Division.
- Work with faculty, staff, and students to resolve issues, answer questions, and handle concerns related to Auxiliary Services.
- Serve as the backup contact for issues related to the Chartwells and Barnes & Noble contracts, working closely with contracted managers to address day-to-day operational needs.
- Perform additional duties as assigned by the Assistant Vice Chancellor for Administration.
QUALIFICATIONS:
- Bachelor’s Degree in Business, Finance, Communications, Administration, or related field, and a minimum of five (5) years of related experience. Master’s degree preferred.
- Ability to respond to common inquiries or complaints from university faculty, staff, administration, regulatory agencies, or members of the business community.
- Ability to effectively present information to top management, public groups, and/or other university employees.
- Effective verbal and written communication skills and strong presentation abilities.
- Ability to negotiate and de-escalate conflict.
- Self-motivated, independent, cooperative, flexible, and creative.
- Working knowledge or better of all applications in the Microsoft Office Suite.
HOURS:
Eight (8) hours per day, Monday–Friday (40 hours per week). Additional hours as needed.
