Position Overview
The Business Operations Analyst provides operational and administrative support to the Associate Vice President (AVP) and their leadership team. This position is responsible for tracking fundraising progress, monitoring performance dashboards, preparing budget and strategy updates, coordinating communications and meetings, managing calendars and arranging travel. The role also supports special projects, assists with data collection and reporting, and collaborates with partners across Advancement to ensure alignment with unit priorities. The position requires strong organizational skills, attention to detail, and proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook). The successful candidate will demonstrate strong written and verbal communication skills, as well as the ability to work independently and collaboratively, manage multiple priorities, and consistently meet deadlines in a complex, fast-paced environment.

Duties and Responsibilities

Monitors progress toward fundraising goals and maintains performance dashboards. Prepares regular status updates and summary reports for the AVP and leadership team. Assists with college/unit goal-setting process, annual planning, and training efforts for fundraiser managers.
Tracks progress on college/unit fundraising strategies. Provides updates to development leadership (Associate VP, AVP, Senior Executive Director). Coordinates with colleagues across Advancement to align unit fundraising activity with institutional goals. Manages budget tracking and reconciliation, ensuring expenditures align with approved allocations. Works with colleges/units during budget season to review and process requests. Drafts and prepares communications from the AVP and their leadership team to Deans, Directors, and unit leaders. Develops talking points, briefing documents, and presentation materials. Creates project status presentations for delivery to internal and external stakeholders.

Coordinates scheduling and meeting logistics for the Associate VP, Assistant VP and Senior Executive Director. Arranges travel as needed. Provides operational support for leadership team initiatives and discussions.

Provides support for special projects such as benchmarking, prospect development, and pilot initiatives. Collaborates with partners across Advancement (Estate and Planned Giving, Principal Gifts, Corporate and Foundation Relations, Donor Experience) to support strategic initiatives.
Assists with analyzing data to identify opportunities that align with institutional priorities.

Required Qualifications
Bachelor’s degree or equivalent combination of education/experience.
2 year’s of experience in business operations, administrative support, project management, or related field.
Experience coordinating complex schedules, meeting logistics, and travel arrangements.
Experience developing reports and presentations for leadership.

Experience in fundraising or institutional advancement within a large university and/or academic medical center setting.
Knowledge of fundraising concepts or performance tracking in a nonprofit or academic setting.
