The Position

We are looking for a highly organized and detail-oriented Design Project Coordinator (DPC) to join our team. As a DPC, you will take ownership of the end-to-end management of design tickets, ensuring seamless project planning, designer allocation, stakeholder communication, and timely project delivery. By streamlining workflows and handling project management, you will protect precious creative time for designers while fostering a smooth and productive environment to achieve business goals.

The Opportunity

As a Design Project Coordinator, you will play a key role in managing the lifecycle of design projects from intake to closure. You will act as the central point of contact for all design-related requests, focusing on project management, Workfront administration, designer allocations, and stakeholder communication. In this role, you will:

  • Serve as the driving force behind the efficient execution of all types of design projects.
  • Manage Workfront tickets to ensure clarity, accuracy, and proper documentation.
  • Facilitate collaboration between designers and stakeholders while ensuring timelines are met.
  • Support the team with a proactive approach to problem-solving and effective communication practices.
  • Help foster a balanced and productive team dynamic to deliver high-quality creative outcomes.

Key responsibilities include:

  • Owning and managing the lifecycle of assigned tickets in Workfront, from intake to closure.
  • Reviewing ticket briefs to ensure clarity and following up with stakeholders for additional information when necessary.
  • Allocating designers based on project needs, availability, and skillset.
  • Handling Workfront administrative tasks, including managing metadata, timelines, and task transitions.
  • Acting as the primary point of contact between stakeholders and the design team.
  • Coordinating kick-off calls for complex or high-priority projects to ensure alignment.
  • Providing clear and actionable feedback, tracking changes, and ensuring timely implementation.
  • Maintaining project tracking documents, identifying capacity constraints, and escalating issues as needed.
  • Actively participating in team meetings, daily stand-ups, and retrospectives to refine workflows and align priorities.

Requirements
 

  • Professional Experience:
     

    • 2+ years of experience in project management, workflow management, or related roles.
    • Preferred experience working within design teams or similar fast-paced business environments.

  • Skills:
     

    • Exceptional time management and organizational skills, with an ability to manage competing priorities across multiple projects.
    • Outstanding communication skills with the ability to foster collaboration and manage expectations between stakeholders and designers.
    • Proven ability to ensure clarity in project execution through strong attention to detail and follow-up.

  • Additional Tools & Knowledge:
     

    • Prior experience in Workfront administration is highly desirable or considered a nice-to-have.
    • Confidence in coordinating kick-off calls, handling project escalations, and facilitating retrospectives to continuously improve processes.
