Position Description:

The University of Louisville School of Engineering is seeking to hire a Department Coordinator IV. The Department Coordinator performs full-time administrative duties in support of a major research center or university department, namely the Louisville Automation and Robotics Research Institute (LARRI) and the Electrical and Computer Engineering department, and is responsible for communication among research participants. This position is responsible for administrative support of the LARRI team including project management for Institute-related events, ordering supplies, interviewing and new employee training for students, managing social media. Also responsible for event management and financial tracking and reconciliation of the grants and accounts for the ECE department.

Essential Duties and Responsibilities:

  • Order equipment and supplies for the team.

  • Procard reconciliations.

  • Aid in the hiring and training of new team members. Maintain a log of all team members with the source(s) of their funding.

  • Organizing and facilitating research meetings and communication between participants, including UofL and other universities researchers, faculty, and students. Maintains, updates, and shares detailed meeting records and documents.

  • Scheduling and hosting internal and external outreach events such as workshops and site visits.

  • Book and manage travel arrangements for the team and visiting/potential faculty.

  • Support of grant and account reconciliations with reporting to interested parties once a month regarding current and future state of each account/grant.'

  • Interfaces with Speed school and university personnel to carry out duties as necessary.

  • Assists center personnel with reporting, fund-raising and proposal writing activities.

  • Interfaces with Speed school and university personnel to carry out duties as necessary.

Compensation will be commensurate to candidate experience.
