This position is based out of our corporate office in downtown Indianapolis. The general pay range is $19-$23/hr. and includes full benefits (below):
The Database & Project Coordinator is part of the growing Goodwill Foundation team. The Goodwill Foundation supports Goodwill of Central and Southern Indiana’s life-changing mission by identifying and securing philanthropic resources from across our territory. This role maintains Goodwill’s donor database and the exchange of information/data between and among the members of the Goodwill Foundation staff. This position also manages ongoing data and operations-related projects as assigned by the Operations Manager. The Coordinator inputs all gifts and constituent information, pulls mailing lists, produces reports and statistical analysis of data, and performs regular data cleanup. The coordinator also managed data projects, timelines, amd coordination amongst team members. Core to this responsibility is ensuring data integrity, performing system audits, and maintaining internal database files and tables. This position reports to the Foundation Operations Manager.
Example Duties and Activities
Database Administration (80%)
Partners with the SVP/CPO, Donor Relations Manager, and other Goodwill Foundation team members to build a culture of philanthropy within the organization. Works collaboratively with and in support of volunteers, other Foundation staff, and other GCSI colleagues to cultivate and connect donors to Goodwill’s mission.
Proactively reviews team calendars of upcoming donor meetings and special events in order to prepare donor profiles.
Ensures consistent case notes from all team members are properly entered.
Maintains the donor database in coordination with the Donor Relations Manager.
Manages the gift entry process including copying checks, tracking weekly batches, and assisting in running financial reports and reconciling deposits.
Coordinates projects related to data and operations and connects with the foundation team.
Completes monthly financial reconciliation of the donor database with the finance department.
Assists accounting team with annual audit preparation needs.
Manages the donation and stewardship acknowledgment process, including pledge reminders and renewal letters.
Develops queries and reports using the donor database to provide monthly evaluation of fundraising efforts and goals for the foundation staff and board of directors.
Produces reports and statistical analysis as requested by foundation staff to assist in the furtherance of foundation goals and objectives. Report types include donor stewardship, board engagement reports, solicitor portfolio reports, grants received reports, event attendance records, etc.
Oversees the creation of data segments for direct mail, newsletter, event invitations, and other publications and mailings.
Ensures data integrity by scanning and cleaning the database on a regular schedule, managing duplicate accounts, and updating coding.
Maintains other foundation software tools including but not limited to the volunteer management platform, fundraising software, and the foundation CRM, Salesforce.
Attends and assists with donor events, including registrations, producing nametags, and ensuring a smooth check-in, check-out process.
Manages the grant entry process
Stays current on trends, practices, and procedures used in the nonprofit sector.
Other Duties (20%)
Supports events and other foundation-related activities as-needed.
Ability to occasionally work a flexible schedule beyond normal business hours.
Other related duties as assigned.
