We are seeking a proactive Data Feed Communications Coordinator to manage and streamline communications between our organization, insurance carriers, and affiliate partners. This role is critical for ensuring timely, accurate, and professional exchanges of information, supporting data feed integrations, contract management, and operational alignment. You will gain exposure to data operations and have opportunities for growth into project coordination or data management roles.

Job Description

Key Responsibilities

  • External Communications Management
    • Act as the main contact for carriers and affiliates regarding data feed delivery, content, and issue resolution.
    • Draft, send, and track communications for data requests, document approval, application of signatures, and reporting clarifications via Outlook and Jira.
    • Coordinate with legal, affiliate onboarding (Independent Marketing Organization, IMO), and compliance teams to ensure communications meet requirements—training provided.
  • Meeting & Relationship Coordination
    • Participate in regular check-ins, bi-weekly reviews, and ad hoc meetings with carrier and affiliate contacts to discuss ongoing projects, data feed issues, and process improvements.
    • Maintain strong working relationships with key contacts at partner organizations to expedite issue resolution and project progress.
    • Coordinate documents with legal and affiliate teams for carrier agreements and signatures.
    • Follow up with carriers for missing data dictionaries, failed data delivery, new reporting requests, or clarifications on data feed structures.
  • Documentation & Tracking
    • Maintain detailed records of all communications, requests, responses, and follow-ups using Jira, Confluence, and shared inboxes.
    • Track the status of outstanding requests and data deliveries, providing regular updates to internal stakeholders.
    • Manage carrier and affiliate data feed inventory, tracking data coverage by carrier, affiliate, product, and feed type.
  • Technical Expectations
    • Basic ability to open and review data files (Excel/CSV) for completeness—training provided.
  • Issue Resolution & Escalation
    • Identify and escalate delays, discrepancies, or non-responsiveness from carriers or affiliates, ensuring timely resolution and minimal business disruption.
    • Collaborate with internal teams (Data, Legal, Operations) to clarify data requirements and ensure communications meet stakeholder expectations.
  • Process Improvement
    • Contribute to the development and refinement of communication workflows, templates, and best practices.
    • Support onboarding of new carriers and affiliates by participating in initial communications and documentation.

Qualifications

  • Experience in professional communications; familiarity with insurance or data environments is a plus, but not required.
  • Strong written and verbal communication skills, with the ability to tailor messages to diverse audiences.
  • Proficiency in email, shared documentation platforms (e.g., Confluence, SharePoint), tracking tools (e.g., Jira), and Excel.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple concurrent projects and deadlines.
  • Collaborative mindset, able to work effectively with internal and external stakeholders.
