Data Admin and Reconciliation Specialist role will primarily support the planners post event, in closing and supporting the reconciliation of the event. With a focus on liaising with delegates to ensure all required documents and information has been collected, compiled and saved appropriately for compliance. They will support the financial reconciliation teams with ensuring all data is shared and recorded to complete expense reimbursements for the delegates, Transfer of Value reporting and final event closure. This may in some cases require coordination with the client lead to align on requirements and will mean that you will work supporting the planning teams and financial teams in GBT.
Attention to detail, and data accuracy is key to this role, and requires a strong level of professional conduct due to client contact. This role may also include various other reconciliation requirements including but not limited to commission support.
High level of French and English is a must.
This is a fully remote role; you can work from anywhere in Poland.
What you'll be doing:
Receive, review, cross check and analyze the event budgets assigned via Meetings & Events’ internal Project Management tool (Meeting Central) + Customer tools
Reconciliation of all meeting and event spend and expenses, as needed.
Review and complete event close out process in accordance with policy guidelines to include data integrity, aging and SLA compliance. Correspond directly with Health Care Professionals and Responsible for Attendee Management and associated aspects (attendee communications etc.).
Oversees Cvent Attendee Management tasks and ensures quality control of attendee data for each assigned attendee / HCP
Runs standardized & custom reports for assigned programs per meeting timeline.
Maintains accurate records, data input, and completes Audit Retention file management as outlined in American Express Meetings & Events and client policies & procedures. Support the local team with admin tasks in Event Planning.
Coordinate with the air ticketing team for the event for seamless operations.
Communicate with the internal teams and on a timely basis, information relative to travel program operations.
Coordinate projects and admin processing as detailed in Job Specifics Tasks
Perform other duties as required.
What we’re looking for:
Fluent Business French and English
1-2 years Reconciliation Experience required
Customer care excellence
Proficiency in Word, Excel and PowerPoint
Proficiency in Cvent and/or Lanyon (Starcite) – data entry, eRFP, reporting, budget is a benefit to the role
Flexibility and Ability to adapt
Able to work well in a team and work well independently with minimum supervision
Used to working under pressure
High level of attention to detail
