The Office Clerical / Customer Service Representative provides comprehensive administrative and customer service support to ensure efficient daily operations within the office, warehouse, and delivery environments. This role requires close coordination with drivers, customers, internal departments, and accounting to maintain accurate records, support delivery scheduling, and ensure documentation compliance.
**THIS IS A TEMPORARY POSITION NOT INTENDED TO EXCEED 90 DAYS**
Essential Duties and Responsibilities
Review and manage inbound emails daily, including delivery requests, customer correspondence, and appointment scheduling.
Monitor and process Return Goods Authorizations (RGAs) using Smartsheet; ensure accurate completion and proper documentation for returned materials.
Communicate with internal departments and vendors to resolve order discrepancies, including missing quantities and requesting new TR inputs.
Answer, transfer, and respond to inbound phone calls regarding delivery scheduling (Distribution Center and Lumber), product availability, and confirmed due dates, including gypsum wallboard products.
Check in incoming drivers, verify delivery documentation, make copies of paperwork, and log deliveries into department folders, live tracking sheets, and Oracle.
Log lumber receipts into live reporting sheets and maintain accurate delivery records.
Scan, save, and organize all driver documentation, including Proof of Delivery (PODs), into Oracle and internal filing systems.
Prepare and maintain daily logs of deliveries and paperwork; distribute copies to Accounts Payable by the end of each business day.
Receive and review weekly Aging Reports from Accounting; validate that orders are received as scheduled and reconcile records for assigned locations.
Identify missing PODs, follow up on incomplete documentation, and ensure all required paperwork is returned, signed, and properly recorded.
Process credits, freight chargebacks, and billing-related adjustments as necessary.
Complete required documentation for RGA returns and coordinate submission to the receiving team.
Provide outbound customer communication as needed to resolve delivery issues, confirm information, and address service concerns.
Maintain consistent organization, accuracy, and confidentiality in all records and communications.
Basic Qualifications
High school diploma or equivalent; associate degree or coursework in supply chain, business, or a related field preferred.
Strong attention to detail and organizational skills.
Basic understanding of purchasing and inventory processes.
Proficiency in Microsoft Office applications (Excel, Outlook); ERP system experience, including Oracle, preferred.
Excellent communication, customer service, and problem-solving skills.
Ability to work independently and collaboratively as part of a team in a fast-paced environment.
Work Environment
Office-based role with occasional visits to warehouses or production areas.
Standard working hours with flexibility during peak operational periods.
