The CRM Project Administrator, under general supervision, coordinates and supports projects related to CRM operations, data management, and reporting. This role assists with data processes, system workflows, and project implementation to help ensure accurate information, efficient operations, and reliable reporting across enrollment and student data systems.
This role, although primarily working remote, must live within driving distance of Texas A&M University-San Antonio and be able to commute to campus when needed.
Responsibilities:
Works with leadership to identify project needs and support CRM-related data and process initiatives.
Assists in preparing reports, dashboards, and data summaries using tools such as Power BI.
Supports data hygiene efforts including validation, cleanup, standardization, deduplication, and data integrity monitoring.
Prepares, imports, and manages data lists while ensuring proper source tracking, labeling, and adherence to data standards.
Assists with data transformation and preparation using Power Query (M code), spreadsheets, and database query tools.
Uses Python for data cleaning, formatting, and basic automation of data import/export tasks as needed.
Helps support and maintain CRM structures such as fields, forms, segments, and workflows to ensure consistent data collection.
Assists in automating routine data processes (e.g., file transfers, scheduled tasks, report refresh support) using tools such as Power Automate.
Coordinates with Institutional Research and Information Technology to support data integrations between the CRM, Banner/Argos, and reporting systems.
Provides CRM support and training to staff, including one-on-one guidance and group instruction on data processes and reporting tools.
Documents workflows, procedures, and data-related processes to support team continuity and knowledge sharing.
Assists with project coordination activities including planning support, progress tracking, vendor coordination, and implementation of new services.
May help monitor milestones, budget-related information, and compliance requirements for assigned projects.
May assist in supervising student workers or temporary staff supporting data or project operations.
Education and Experience:
Bachelor’s degree or higher in related field.
Preferred Education and Experience:
One (1) or two (2) years of experience in data support, reporting, CRM systems, or project coordination.
Experience with CRMs especially Element 451, Salesforce, or Slate.
Experience with student information systems or reporting databases (e.g., Banner/Argos).
Knowledge, Skills and Abilities:
Working knowledge of data reporting and visualization concepts, with experience or exposure to tools such as Power BI.
Familiarity with data preparation and transformation techniques using tools such as Power Query (M code), spreadsheets, or similar data-shaping tools.
Basic understanding of workflow automation concepts, with exposure to tools such as Power Automate or other automation platforms.
Understanding of CRM data structures, field mapping, list imports/exports, and workflow or automation triggers.
Basic programming or scripting experience for data cleaning or automation tasks using Python (e.g., Pandas, NumPy) or similar tools.
Comfort using a code or scripting editor (such as VS Code, Vim, or similar) to support data processing tasks.
Ability to interpret data trends and clearly communicate findings to nontechnical stakeholders.
Strong attention to detail, especially related to data accuracy, integrity, and documentation of processes.
Ability to manage multiple tasks, support ongoing projects, and collaborate with cross-functional teams.
