ROLE SUMMARY
Provide comprehensive administrative support to the Country Lead and country team, working independently with minimal supervision.
This role is key in shaping the country team’s culture by fostering connectivity, embedding core values, and enhancing engagement at the country level. The Country Admin ensures smooth logistics and effective activities to help create a thriving local culture, collaborating closely with the Country Lead and local leadership team to coordinate country-specific projects, logistics, meetings, events, and communications.
Diligent adherence to all relevant processes and policies must be maintained to ensure compliance.
Primary Duties:
- Provide comprehensive administrative support to the Country Lead, including proactive calendar management and efficient arrangement of all internal and external meetings at the country level.
- Coordinate logistics, scheduling, and planning of key country meetings and events supporting the activities within the country organization (e.g., country townhalls, off-site leadership meetings, and follow-ups from regular online meetings).
- Assist in preparing external meetings, in partnership with Country Lead and relevant country team members
- Support Country Lead in managing any internal and external follow-up items needes and help accelarate issue resolution
- Contribute to shaping the country team culture and fostering a sense of community centered on Pfizer’s core values; take initiative in identifying and leading projects that enhance local team culture, connectivity, and wellbeing.
- Attend local leadership team meetings, contribute as a team member with full responsibility as the secretariat.
- Manage expenses and organize travel, logistics, and meetings (both in-person and virtual) for the country team, with effective prioritization and resolution of conflicts.
- Actively contribute to projects that improve or create new efficient working practices, focusing on simplicity and prioritization at the country level.
- Establish and maintain procedures and systems to support country processes in line with Pfizer Compliance and SOPs.
- Embrace the latest digital technologies, applications, and platforms to develop documents, content, slides, and processes as required for the country team.
- Support onboarding/offboarding of new starters and leavers within the country.
- Work collaboratively with other assistants across the country and cluster, sharing best practices and supporting cross-country initiatives.
- Manage Teams sites and other digital collaboration tools for the country team, keeping them organized, structured, and up to date to simplify work and meet local needs.
- Provide comprehensive support to the country team with financial requests, ensuring adherence to allocated budget limits, and minimizing financial queries. Assist in processing financial transactions and investigating financial issues, including Purchase Order and Vendor-related queries, to facilitate timely resolution.
BASIC QUALIFICATIONS
- Demonstrated strong ability to carry out comprehensive administrative support to leaders, including proficiency in all office responsibilities.
- Proven ability to plan, organize, and prioritize own workload with minimal supervision to meet upcoming/cyclical deadlines.
- Proven ability to juggle conflicting priorities.
- Excellent written and verbal communication and coordination skills, with the ability to work effectively with all levels of management.
- Independent, proactive, and self-motivated with excellent attention to detail.
- Ability to take a broader perspective when making decisions.
- Positive “can do” attitude and agile mindset.
- Support and contribute to innovation, simplicity, and continuous improvement.
- Excellent judgment and ability to work with confidential documents and information.
