As Corporate Services & Travel Coordinator, you will play a key role in supporting Northland’s employees and corporate operations by managing travel inquiries, coordinating reporting and KPIs, and ensuring smooth day-to-day office functions. This includes overseeing meeting rooms and common areas, liaising with vendors and contractors for facilities and supplies, and maintaining resources such as parking, training repositories, and executive accommodations. The role also supports internal events, board meetings, and health and safety initiatives, while ensuring a welcoming and well-organized workplace.

What You’ll Do:

Corporate & Travel Coordinator duties:

  • Support day-to-day travel issues and/or inquiries from Global Northland Power employees regarding the travel platform and liaise with the Navan Account team to resolve
  • Support to ensure monthly and/or quarterly reporting is completed accurately, and in a timely fashion
  • Support and track Northland KPI’s (with assistance from Sr. Executive Assistant and Director of Procurement
  • Maintain and support Toronto apartment scheduling and use (including cleaning schedule and coordination with executive support team)
  • Printing, scanning and photocopying of documents.
  • Maintain and update the training/onboarding repository for the Corporate Services team
  • Maintain and update executive office parking info (for building)
  • Coordinate meeting room, catering and office support for Northland Board of Directors meetings
  • Support JHSC (Joint Health and Safety Committee) and committee member

Common Area and Meeting Room Maintenance (oversee via NPI Porter):

  • Ensure the cleanliness and functionality of shared spaces (e.g., break rooms, kitchens, lounges).
  • Daily walk around floors 3, 4 and 5 is required to ensure porter and cleaning staff are fulfilling duties per contract
  • Restock supplies in common areas, such as dish soap, utensils, paper towels, and cleaning supplies.
  • Coordinate cleaning services to maintain hygiene in high-traffic areas and workstations.
  • Manage meeting room scheduling, ensuring they are equipped with necessary technology and supplies.
  • Ensure rooms are clean, restocked (e.g., pens, paper, markers), and ready for use.
  • Coordinate tech support for audiovisual equipment, video conferencing, and presentations.

Facilities Management:

  • Coordinate with external contractors for facility repairs, cleaning, and upgrades.
  • Coordinate with IT on system requirements for security and office access
  • Maintain NPI Parking allotments
  • Coordinate and schedule a handyman when required

Office Snacks, Coffee, and Tea Management:

  • Order and track inventory of office snacks, coffee, tea, and beverages
  • Maintain and clean coffee machines, beverage stations, and other equipment (via Vendor contact at Pantry)
  • Implement protocols for food safety and general office hygiene.

Supporting Internal Events:

  • Assist with planning and organizing internal events (e.g., town halls, coffee hours, company celebrations).
  • Set up event spaces, coordinate seating, equipment, and decorations as needed.
  • Provide logistical and technical support during events, including managing RSVPs and setup of audiovisual equipment (corporate events only)
