Corporate Facilities Coordinator

This position coordinates the repair and replacement programs of functional areas for six corporate facilities. Responsible for coordinating the activities of internal maintenance technicians, facility admin/operators, driver/courier and contractors to perform daily job responsibilities.

Major Activities
Oversee day to day operations of Facilities Department

  • Coordinate and/or participate in construction/installation activities on assigned projects.
  • Coordinate activities with other departments and contractors providing maintenance and repair to assigned buildings.
  • Ensure that all vehicles are fully equipped with all necessary safety equipment, yearly inspections, and insurance records.
  • Assign the daily work of seven associates.
  • Prioritize and communicate scope of work to be done.
  • Perform payroll duties and monitor employee absence and time off requests.

Conference Rooms and Media Services

  • Manage conference rooms including scheduling, set up, break down and storage of equipment and furniture.
  • Maintain preventative maintenance on all projectors to include monthly cleaning and monitoring of bulb hours.
  • Inform IS services when changes occur in common conference rooms for scheduling purposes.
  • Monitor the daily upkeep of conference rooms to include chairs, clocks, whiteboards, telephones, tables and trash cans.

Safety Activities

  • Ensures safety codes, environment, tools and resources are adhered to /maintained to ensure a safe working place for all associates.
  • Work with the risk management and safety department to ensure safety of maintenance technicians.
  • Provide training and preventative measures to maintenance technician.

Coordinate corporate office relocations

  • Work with Facilities Manager to organize and execute all corporate office moves.
  • Work with all departments to support efficient move process.
  • Determine based on established guidelines requirements for move, electrical, cable furniture IS, and telecommunications.
  • • Communicate move instructions and requirements with all departments to include supplies for move.

Monitor project and budget expenditures

  • Review budget with Facilities Manager monthly.
  • Meet budget guidelines for spending in designated areas.
  • Meet with manager to discuss spending for facilities related items.

Minimum Education

  • High school diploma or the equivalent (GED) required

Minimum Special Certifications or technical skills

  • Certified to drive a forklift or ability to become certified
  • Possess a valid Texas driver’s license for at least two years
  • MS Office (Word, Excel, Power Point)

Minimum Type of experience the job requires

  • Minimum of 3 years experience in facilities or building services in a corporate environment
  • Experience with facility repairs and preventative maintenance issues in order to gauge accuracy of repair, maintenance, and contract estimates

Other

  • Ability to drive a 15ft box truck and commercial van
  • Ability to read maps
  • Must meet all requirements in order to be bonded and covered by our liability and automobile insurance (must be at least 21 years of age)

Preferred Type of experience the job requires

  • Experience working in a facilities capacity with multi – location corporate offices
