Cleveland Clinic’s Digestive Disease & Surgery Institute (DDSI) delivers advanced medical and surgical care focused on the safe, evidence-based treatment of gastrointestinal disorders. As a Special Unit Surgery Coordinator, you will manage all scheduled and unscheduled procedures, admissions, and appointments. This role provides comprehensive surgery scheduling support for DDSI physicians, as well as cross-coverage for the General Surgery Department. Serving as a vital organizational resource, this position ensures seamless operations so caregivers can continue delivering the exceptional patient care Cleveland Clinic is known for.
A caregiver in this role works days from 8:00 a.m. – 5:00 p.m.
A caregiver who excels in this role will:
Ensure accuracy of system-wide master patient index through validation and capture of patient demographic data.
Validate patient physician information and ensures accurate collection.
Validate and capture primary, secondary and tertiary insurance coverage to ensure accurate billing.
Identify patients in need of financial counseling to ensure appropriate payment of services.
Identify services out of insurance plan or requiring referrals; may inform patient of courses of action.
Triage appointments are based on diagnosis, patient preferences and physician specialty.
Coordinate services and provide special instructions as requested by patients, internal physicians and referring physicians.
Perform scheduling both intra- and inter-departmentally as requested by physician orders.
Receive orders and processes as indicated by provider and schedules according to protocol.
Maximize the department’s allocated spaces by scheduling all procedures/surgeries.
Enter appointment into respective programs, both routine and emergency add-on.
Ensure accuracy of all data including appropriate CPT coding and case information (side, equipment, etc.).
Enter all updates, corrections and changes to scheduled procedures/surgeries.
Maintain provider schedules for designated unit.
Coordinate multiple physician schedules.
Maintain familiarity with all appropriate scheduling functions.
Serve as a liaison with the admitting office regarding hospital reservations, update admission information and cancel reservations.
Notify patients of their arrival times per area protocols.
Act as a resource to all department personnel (surgeons, medical secretaries, nurses, residents, etc.) on daily activity.
Communicate with all departments to maximize efficiency and expedite the admission process.
Maintain designated space/unit and patient management calendars/ledgers; maintains department data based on area needs.
Communicate with patients and their families to provide detailed instructions, directions, and resources available.
Minimum qualifications for the ideal future caregiver include:
High School Diploma or GED
Two years of related experience in an area providing knowledge of medical terminology, including patient registration, patient billing, insurance processing or appointment or scheduling
OR three years of customer service concierge experience
Proficient in use of Personal Computers (PC) and general knowledge of PC based systems and software
Knowledge of Microsoft Word and Excel applications
Working knowledge of computerized appointment/OR scheduling systems, patient billing, insurance processing or other related office functions to coordinate patient access
Preferred qualifications for the ideal future caregiver include:
In-depth knowledge of medical terminology and/or CPT/ICD coding
Experience working in a medical practice or clinical office setting
Proficient with medical office systems and scheduling software
Customer service experience in a healthcare environment
Physical Requirements:
Requires frequent standing, walking and sitting for extended periods of time.
Lifting and carrying up to 25 lbs.
Requires manual dexterity to grasp and handle records and to operate PC computer in the course of work and navigate throughout the hospital.
Normal or corrected vision.
Personal Protective Equipment:
Follows standard precautions using personal protective equipment as required.
