Job Description
The Coordinator of Special Events assists in the management & coordination of the facility calendar for all athletic venues, including practices and competitions for OSU athletic teams and programs, camps & clinics, athletic department events, university events and special events/facility rentals. Receives facility requests and schedules for all athletic facilities. Responds to event inquiries, serves as the main point of contact for assigned events. Assists with the management and distribution of the facility schedule.
Collaborates and communicates with numerous athletic department areas and campus partners including athletic communications, marketing, live events, facility operations, video services, ticketing, merchandise, parking and concessions to ensure the successful presentation of events. Provides estimates, coordinates needs, invoices, tracks expenses and revenues for assigned facility rental events.
Organizes and processes a high volume of requests via our scheduling software EMS. Provides estimates, coordinates needs, invoices, tracks expenses and revenues for assigned facility rental events. Assists in hiring, training, scheduling and supervising of event staff (Redcoats, Ushers, Guest Attendants). Sends out and tracks survey results to ensure we’re meeting set goals.
Maintains a well-informed working knowledge of facilities and market comparisons and analysis; participates in departmental and relevant sales meetings with facilities, University Hospitality District, and the Event Venue Marketing Consortium; works with partners like Learfield and Levy to grow the use of Athletics and Business Advancement event space particularly in the tour program space and repeat customers.
Attends weekly event meetings and work on other special projects and assignments or working groups as determined by supervisor. This position will require to work nights and weekends based on the schedule of events. This position works in a creative and collaborative team environment where change is embraced and innovation is encouraged. Performs other duties as assigned..
Minimum Required Qualifications
Bachelor's degree or equivalent experience. 2 years of relevant experience required. 2-4 years of relevant experience preferred.

The target hiring range for this job profile is $ 19.28 - $25.19. The actual starting rate paid to an individual will vary based on multiple factors, including but not limited to, education, years of experience, internal equity, etc.
Final candidates are subject to successful completion of a background check. A drug screen or physical may be required during the post offer process.
