Summary :

The Coordinator/Scheduler provides assistance to the care team in the coordination of the daily operational functions that integrate patient care. The position also provides in department scheduling duties for patients of outpatient services at ThedaCare. Requires strong skills in communication, customer service, multi-tasking, and real-time problem solving.
The Scheduler/Coordinator performs scheduling and coordination of care for department patients to ensure that necessary information and office tools are in place to support high quality, timely service. This includes scheduling clinic visits, in-clinic procedures, and appliable diagnostic and ancillary services as requested by the provider. Performing coordination for care navigation including patient financial advocacy collaboration. Communicating essential information to patients regarding the services being ordered as directed by the Provider. The Scheduler/Coordinator performs these functions while meeting the mission and goals of ThedaCare and regulatory compliance requirements

50% Scheduler / 50% Coordinator responsibilities
No weekends
No holidays

JOB RESPONSIBILITIES:

  • Care coordination of multiple visit types with a focus on ensuring that cosmetic plastic patients understand the plan of care, sign the appropriate consent and collect the payment due (if applicable) based on physician orders.  Both in-person patient care coordination and on the phone patient coordination.
  • Schedules and pre-registers the right patient using appropriate procedures based on physician orders including obtaining and validating demographic and insurance information.
  • Evaluate patients' needs across the system and coordinate care as determined by ordering providers.  This would include answering phones and taking appropriate action.
  • Proactively problem solves access issues that arise when scheduling to meet patients need, which can include adjusting schedules to utilize unused time due to cancellations and to accommodate patient needs.
  • Performs administrative tasks to support operational needs of the department such as scheduling meetings, sending out mail, support for provider interviews, submission of facility tickets, ordering of office supplies etc. and administrative tasks related to timely delivery of care, including obtaining or verifying prior authorization or performing patient registration.
  • Templates all providers schedules and manages them throughout the year
  • Manages in-baskets and incoming and outgoing referral work queues
  • Facilitates the flow of patient forms, patient letters, and data collection per department needs 
  • Demonstrates service skills to provide an exceptional customer service experience.
  • Proactively problem solves access to meet stakeholder needs and optimize resource utilization.
  • Addresses patterns of access concern and escalates to appropriate leaders or groups. 
  • Completes medical necessity/compliance checks as appropriate
  • Utilizes system-wide standards to correctly identify patients
  • Is accountable for point-of-service goals as assigned
  • Support appointment reminders for the system 
  • System support for on department providers/leaders
  • Values teamwork and is approachable, collaborative, responsive and enthusiastic 

QUALIFICATIONS:

Minimum Experience and Education required and/or preferred

  • High school diploma or GED required
  • 1-2 years of customer service experience preferred
  • Medical terminology and cosmetic plastic background preferred
