Position Summary:
We are seeking a passionate, highly organized, and detail-oriented Product Development Coordinator to support our Product Development team in a dynamic, fast-paced environment. This hands-on role will assist with all aspects of new product development while maintaining an organized and efficient product room. The ideal candidate is a proactive self-starter who enjoys working on multiple projects simultaneously and thrives in a collaborative, cross-functional environment.
The Product Development Coordinator reports to the Director, Product Development.
 
Responsibilities:
- Support the New Product Development team by coordinating and maintaining day-to-day tasks across current and new projects.
- Manage, coordinate, ship, and track all incoming and outgoing sample shipments (domestic & international).
- Manage incoming formula and shade submissions, communicate updates, and hand off samples to project owners.
- Organize, label, and maintain product sample inventory to ensure quick access and traceability.
- Maintain the Innovation Room, keeping project bins current, assortments updated, and the space clean and presentation-ready.
- Prepare product trays for all meetings, including weekly working sessions and vendor meetings.
- Coordinate product testing activities; schedule panels, gather feedback, and maintain an up-to-date testing tracker.
- Update briefs with formula and shade benchmarks and direction.
- Input directed feedback and approvals into Wrike.
- Maintain weekly development trackers for briefs, action items, and non-project tasks.
- Scan and send approvals/rejections to external vendors.
- Maintain digital product folders, ensuring vendor documents, specs, and internal files are organized and accessible.
- Maintain a library of vendor submissions and competitive products for easy reference.
- Maintain NPD pipeline sheets for quick reference.
- Partner with Product Innovation to support Internal Line Review sample needs and tray prep.
- Monitor market trends and competitor activity; send a monthly roundup of notable launches and insights.
- Conduct competitive shopping and market research to inform product direction and benchmarking.
- Attend 1–2 international calls (evenings) with China R&D/Sourcing teams per week, as needed.
- Assist in evaluating formulas in partnership with the team.

Requirements:
- Bachelor’s degree or equivalent experience.
- Entry-level position; ideal candidate has internship or work experience in the beauty industry and a genuine passion for beauty innovation.
- 1+ years of experience in product development or a related function; beauty industry experience strongly preferred.
- Highly resourceful with strong problem-solving abilities.
- Works efficiently with a positive, can-do attitude.
- Strong time-management skills with the ability to prioritize and adapt to shifting deadlines.
- High level of ownership, follow-through, and initiative.
- Exceptional organizational skills, attention to detail, and ability to multitask.
- Must be willing to wear and evaluate a variety of beauty products, including fragranced items, color cosmetics, and active skincare.
- Physical requirements: frequently move materials up to 15 lbs; retrieve, pack, and unpack packages; occasional ladder use for accessing storage.

- Strong written and verbal communication skills; excellent team player.
- Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel).
- Willingness to support the team on additional tasks as needed.
- Onsite presence required 5 days a week in the Oakland office.
