The Helsinki School of Economics Support Foundation is an independent foundation established in 1974. It provides financial support for postgraduate studies and research conducted at the School of Business at Aalto University.

Coordinator position (shared role: 50% in the HR team / 50% in the Support Foundation)

to join our HR team on a permanent basis.

In this new role, you will support doctoral researchers in matters related to their employment as part of the HR team and coordinate grant processes for the Support Foundation. The position offers a unique opportunity to work at the intersection of HR services and foundation administration.

We are looking for a development-oriented and service-minded coordinator to strengthen the service path and the employee experience of doctoral researchers, while also managing and developing the Foundation’s grant administration processes.

Your role and goals


In this role, you will support doctoral researchers in matters related to all stages of the employment lifecycle as part of the HR team. At the same time, you will independently manage the administrative processes of the HSE Support Foundation. Your goal is to ensure a smooth and consistent service experience for doctoral researchers and grant applicants. You will work in close collaboration with HR, finance, communications, research services, and the doctoral education organisation and programme management, while also ensuring seamless cooperation between the School of Business and the Support Foundation.

You will be part of the School of Business HR team and report to the HR Manager. Regarding the Support Foundation responsibilities, you will report to the CEO, Salla Vainio. More specifically, you will be responsible for:


• HR tasks supporting the employment lifecycle of doctoral researchers (e.g. employment contracts, onboarding support, and supporting departments in recruitment and employer branding when needed)
• Coordinator responsibilities Support Foundation (e.g. managing grant application processes, applicant communication, and supporting budgeting and planning)
• Coordinating and developing the funding model for doctoral research (e.g. maintaining and updating funding guidelines and communications)
• Advising applicants and students on grant-related and HR-related matters
• Stakeholder collaboration with HR, financial services and external financial administration providers, communications, research services, doctoral programme planning, and the foundation’s CEO and governing bodies

What we expect from you

  • At least 2 years of experience in HR tasks. Experience with grant processes or higher education support services is considered an advantage.
  • Strong ownership of your responsibilities and the ability to manage broad and complex entities.
  • A development-oriented mindset and strong service attitude,
  • Excellent interaction and communication skills, with the ability to work collaboratively in diverse networks and teams,
  • A relevant master’s degree, and
  • Fluency in both Finnish and English

This is a new dual role in which approximately 50% of the role focuses on doctoral researcher employment matters at the School of Business and the remaining 50% serving as the Support Foundation coordinator.

About the recruitment process

Only applications submitted through Workday will be considered. We will start the evaluation process already in May during the application period. From the first-round applicants, Aalto University will select candidates to continue in the process. Shortlisted applicants will be invited for an on-site job interview, taking place in May/June.

The selected candidate is expected to start the position on August 1, 2026, but an earlier or later starting date is negotiable.
