Coordinator, Internal Communications

Summary:

Overview 

The Coordinator, Internal Communications, will play a key role in supporting the ASPCA’s Internal Communications team, which keeps more than 1,200 ASPCA employees nationwide connected by ensuring that they are informed, engaged ambassadors of the organization’s programs and impact.  

 

This individual will support the successful implementation of the ASPCA’s communications efforts to internal audiences and stakeholders, with a strong emphasis on employee engagement, collaboration, content development, simple design, copy writing and editing. They will also work on special projects assigned by the supervisor.  

 

This support role will be part of a high-performing team whose work plays an important role in shaping employee experience across the organization. A successful candidate will need to bring strong communications skills, professionalism, attention to detail, writing and editing skills, and the ability to build collaborative relationships within and across our team. The Coordinator must be able to balance multiple projects and priorities, work both independently and part of a team, and take full ownership of projects assigned to successful completion.

The Communications division works with key stakeholders to develop marketing and communications strategies, messaging, creative and content to engage audiences on priority issues to fulfill the ASPCA’s mission. Strategies are developed based on target audiences and organizational priorities across owned, earned and paid media and channels. ASPCA communications drive public awareness and engagement in our mission and impact, support our priorities and values, strengthen our brand, and advance our work.

What You’ll Do 

 

  • The Coordinator, Internal Communications, reports directly to Manager, Internal Communications and has no direct reports. 

 

Where and When You’ll Work 

 

  • This is a hybrid position and will require occasional (1-2 days/week) commuting to 520 8th Avenue or other ASPCA location in New York City. 

  • Ability and willingness to travel up to 10 – 15% annually, as needed.

Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary range for this role is set forth below and may be modified in the future. 

  • The target hiring range for this role is $27.50 - $28.95 per hour

Responsibilities:

Responsibility buckets are listed in general order of importance. They include, but are not limited to:  

 

Employee Communications Content & Production 

  • Support the development and maintenance of promotional plans, materials, and templates to streamline processes and leverage opportunities for collaboration across the team 

  • Collaborate on editorial planning and execution of employee communications by drafting, editing, formatting, designing, and distributing employee messages, posters, flyers, short articles for internal newsletters, internal social media posts, memos, and other content as assigned  

  • Spearhead production of the ASPCA’s weekly staff email newsletter and the continued improvement and evolution of this tool, including story mining and development, drafting and editing content, facilitating editorial review, and coordinating content distribution  

  • Support the planning, development and distribution of All Staff email communications as directed by supervisor  

  • Track performance of employee emails, events, and campaigns and regularly gather metrics to evaluate content engagement, KPIs, other success metrics, and progress toward team goals 

 

Employee Community Maintenance & Event Planning 

  • Provide ongoing and consistent support in the maintenance, development, and oversight of our internal digital community) and information-sharing tools, including managing governance, cultivating content contributors, sourcing content and story-mining to increase active users and contributors, and moderation of user‑generated content for policy compliance 

  • Explore new technology as needed and stay current with industry trends and best practices to guide the evolution of our internal digital strategy and increase staff engagement 

  • Collaborate with staff and executive stakeholders to ensure access, provide training, and encourage participation in our ASPCA-hosted events and digital community  

  • Support logistical planning for onsite and virtual employee events, including but not limited to large-scale internal learning opportunities, Town Hall events, and small group discussions featuring various members of the C-Suite and Senior Leadership Teams 

  • Track performance of content, campaigns and activations and gather platform metrics monthly to assess engagement and accomplishment of team KPIs, success metrics and progress toward goals 

 

Administrative & Other 

 

  • Maintain our ASPCA Organizational Calendar to ensure that the calendar is regularly updated by stakeholders and can serve as an accurate reflection of upcoming internal and external events for visibility and collaboration across teams 

  • Support the implementation of comprehensive communications campaigns and collaborative projects aligned with our mission, strategic objectives, and Core Values 

  • Stay informed of organizational operations and mission by reading and staying on top of animal welfare news, internal news, participating in organization events, and conducting independent research 

  • Proactively build internal communications skills and expertise by learning and embracing new technology, staying updated on internal communications developments and best practices, and attending internal and external training or development opportunities as available and approved 

  • Coordinate production and distribution of material with other ASPCA departments, as required 

  • Manage projects nimbly with the understanding that needs and objectives may change and evolve, and be able to redirect a project while ensuring a timely and effective progress to goals 

  • Participate and contribute updates during Internal Communications team meetings, Communications departmental meetings, and work cross-functionally with other members of the team   

  • Brainstorm and assist with the development of new internal communications materials, channels, events and other items as directed 

  • Engage in consistent and regular reporting to supervisor, including giving and receiving effective feedback   

  • Schedule and attend meetings, take meeting notes and capture and track actionable next steps to keep projects moving 

  • Collaborate with colleagues within other units of the Communications teams (i.e. media, marketing, public/professional online properties, social media, etc.) to maximize relevant calls to action, as needed 

  • Support the Internal Communications team as needed to ensure ASPCA employees are informed, engaged ambassadors of the organization and its work 

 

Qualifications  

 

  • Working knowledge of a related communications field, such as corporate/internal communications, marketing, public relations, social media and/or related roles 

  • Exceptional copy writing and editing skills and ability to comply with ASPCA brand standards as outlined in our Brand Book  

  • Exceptional attention to detail with strong organization and time management skills, including a demonstrated ability to prioritize multiple projects, tasks, and deadlines 

  • Excellent verbal and interpersonal communication skills, including professionalism, poise and discretion  

  • Proficiency with basic meeting and event planning, including scheduling, distributing agendas, meeting notes and next steps 

  • Demonstrate ownership and the ability to complete tasks as instructed with minimal oversight 

  • Demonstrate strong time and task management skills with the understanding that deadlines, objectives, and priorities may change and evolve 

  • Ability to work independently and as part of a team 

  • Ability to maintain good working relationships with employees, department staff and the public 

  • Comfortable collaborating with and receiving feedback from senior leaders on our team

Education and Work Experience 

 

  • High School Diploma or GED required 

  • Profient with web technology, including email marketing and social community platforms required; ContactMonkey or Workvivo a plus 

  • At least 1 year experience preferred designing simple promotional materials (flyers, templates, etc.) using a web-based design tool, such as Canva 

  • Experience working at a professional or volunteer large-scale event that involved advanced planning, logistics coordination, and promotion preferred
