Job Summary

Support the department with contract coordination and system administration functions which include but are not limited to the following: coordination of contract request reviews and development, contract execution, contract recordation, and software-supported contract maintenance/tracking; assistance with or support for the creation of contract related audits, requests, or reports, as needed; and by becoming proficient in the organization's contract management software systems, act as a primary resource for department staff, internal clients and other internal contract administrators on all matters related to the organization's contract management software systems. Participates in meetings, educational events, and telephone conferences, as needed or directed. Provides other services to support the department.

Essential Functions

  • Assists with coordination of contract request reviews and development, execution and management of contracts, as requested by the upline executive.
  • Interacts directly with internal clients, as directed by the upline executive, to provide support related to contract request reviews, contract development, and contract management functions.
  • Assists in management, customization and maintenance of software system(s) supporting the department's contract management processes. Works with contract management software vendor representatives to resolve contract management software problems. Assists in input to technical staff in developing enhancements.
  • Assists with training of new contract management software system users and data administrators.
  • Prepares and files other documents as requested by the upline executive or other leaders.
  • Responds to questions and requests coming to the department. Resolves problems requiring in-depth knowledge of organizational and internal corporate structures, protocols, policies, procedures and strategies. Informs executive of any deviation on items requiring attention.
  • Assists progress of day-to-day operations of the department, including projects, presentations and the coordination of meetings, including preparing agendas and presentations and compiling all required reports, and any other arrangements. Coordinates the collection of data from a variety of sources for inclusion in reports and presentations. Assists with organization and draft preparation of department documents, as needed. Ensures that information and records are maintained in the strictest confidentiality.

Qualifications

  • Required Associate's Degree
  • Preferred Bachelor's Degree
  • 3 years of relevant experience or more consecutive years' of hands-on experience with contracts in a government setting, a private law or accounting firm or other contract support related services environment at a major corporation or hospital/health system Required
