Contract Administrator - MEP Team

Position Overview

We are seeking an experienced Contract Administrator to support our Mechanical, Electrical, and Plumbing (MEP) operations team serving a major financial services client across EMEA markets. This role requires strong administrative capabilities combined with technical understanding of MEP systems and financial services sector requirements.

Key Responsibilities

The Contract Administrator will manage the full contract lifecycle for MEP services, ensuring seamless delivery of mechanical, electrical, and plumbing maintenance and project work across multiple financial services facilities. Primary duties include processing work orders and service requests through Computer Aided Facilities Management (CAFM) systems, coordinating with internal MEP teams and external contractors, and maintaining comprehensive documentation of all service activities and compliance requirements.

Contract management responsibilities encompass reviewing and processing vendor agreements, monitoring performance against service level agreements, and ensuring adherence to financial services regulatory requirements. The role involves managing end-to-end invoicing processes, including invoice validation, approval workflows, and reconciliation against contracted rates and delivered services. Close collaboration with procurement and finance teams is essential for managing supplier relationships, processing payments, and contract renewals while maintaining cost control and budget compliance.

The position requires strong stakeholder management across diverse teams including facilities management, regional operations, compliance officers, and senior client representatives. Regular reporting on contract performance, cost analysis, and service delivery metrics forms a core component of the role.

Essential Requirements

Candidates must demonstrate proven experience in contract administration within facilities management or MEP services environments. Hands-on experience with CAFM systems for work order management, asset tracking, and maintenance scheduling is essential, along with comprehensive knowledge of invoicing processes including purchase order matching, cost code allocation, and payment processing workflows.

Understanding of mechanical, electrical, and plumbing systems terminology and service requirements is required, along with familiarity with financial services operational environments and regulatory frameworks. Strong proficiency in contract management systems, Microsoft Office Suite, and financial reporting tools is necessary for success in this role.

Excellent communication skills are essential for managing relationships with multiple internal teams and external contractors across different time zones and cultural contexts within the EMEA region. Experience with invoice dispute resolution and vendor payment queries is highly valued.

Preferred Qualifications

Previous experience working with financial services clients, particularly in multi-site EMEA operations, would be highly advantageous. Familiarity with leading CAFM platforms such as Archibus, Maximo, or similar systems adds significant value, along with knowledge of relevant compliance standards, health and safety regulations, and industry certifications for MEP services.

The ideal candidate will bring strong analytical capabilities for contract performance evaluation and cost analysis, experience with automated invoicing systems and approval workflows, and demonstrated ability to work effectively in matrix reporting structures typical of large-scale facilities management contracts.
