Specific Duties & Tasks:

  • Central administrative point of contact and support for external suppliers and internal teams in the commissioning process.

  • Manage delivery of commissioned content across platforms, e.g. master files, access services, imagery, social clips, graphics, billings, credits, end boards, cost reports, paperwork and all necessary updates for repeats.

  • Cash flow management of commissioned content - tracking cost reports and payments against production stage.

  • Payments processing - onboarding new suppliers, raising POs and tracking invoices.

  • Assist with administration of contracts - drafting legal documents, e.g. content licences, supplier and contractor agreements.

  • Work closely with Legal, Finance and Procurement to ensure smooth workflows with external suppliers.

  • Maintain the commissioning portal -  tracking submissions, manage submission reviews and deal with supplier submission enquiries.

  • Manage and update relevant databases and departmental documents, e.g. delivery trackers, stock lists, project timelines, meeting notes, memos, production and funding reports and others as and when required.

  • Liaise with internal marketing, graphics and promo teams to ensure timelines are managed efficiently and assets are utilised fully.         

  • Production Manager on internal productions as required, including production planning and budget tracking.

  • Manage various mailboxes, including the Take Part email for casting callouts and the complaints mailbox - drafting and tracking responses.

  • Support external suppliers with ALBERT certification.

  • Support the Content Team in project planning and execution.

  • Maintain the organisation of the shared drive and ensure that all material received is filed correctly

  • Develop and maintain office and administrative systems

Skills & Expertise:

  • Experience working as a Production Co-Ordinator within a Creative Services department

  • Experience and confidence in budget tracking and payment processing.

  • High-level admin skills and proficiency in a range of software packages, including Word, Excel, Outlook, PowerPoint and the aptitude to learn new software packages as required.

  • Strong organisation and planning skills.

  • Familiarity with broadcast standard equipment and production procedures.

  • Ability to prioritise conflicting workloads efficiently whilst maintaining accuracy and attention to detail when working to deadlines

  • Experience in maintaining office systems and following administrative procedures, and of devising new systems where appropriate

  • High-level interpersonal and communication skills to establish and maintain effective working relations with a wide range of internal and external stakeholders.

  • Ability to work independently and as an integral part of a team

  • An interest in and enthusiasm for content and broadcasting.
