The Conference & Webinar Manager plays a central role on the ISS Media Conferences team, supporting end-to-end planning, execution, and promotion of events across the PLANSPONSOR, PLANADVISER, and CIO brands. This position blends event marketing, Cvent expertise, webinar management, and conference operations to drive audience engagement and support revenue goals.

Key Responsibilities

Event Marketing & Communications

  • Lead the full marketing workflow for all conferences and webinars, collaborating closely with editorial, design, and ad operations teams.
  • Own the master event and webinar marketing schedule; ensure all campaigns deploy accurately and on time.
  • Create professional, data backed sales decks and post event recap presentations for internal and client use.
  • Coordinate with design and editorial on updates to promotional assets, webpages, and event positioning.

Cvent Management & Event Reporting

  • Serve as the primary Cvent administrator for all conferences and webinars.
  • Build and manage event registration sites, automated emails, attendee journeys, and the event mobile app.
  • Troubleshoot Cvent issues and implement updates as needed throughout the event lifecycle.
  • Produce weekly attendee reporting for sales leadership and maintain accurate cross event benchmarks.
  • Manage all survey creation, deployment, reporting, and analysis for events and webinars.
  • Own post event wrap-up reporting and data packaging for internal stakeholders and sponsors.

Agenda & Speaker Coordination

  • Oversee scheduling and communications for panel prep calls across all events.
  • Maintain accurate session and panel descriptions in Cvent and coordinate with design to ensure timely updates on WordPress event pages.
  • Partner with editorial and conference leadership teams to ensure agenda details are current and aligned with event strategy.

Sponsored Webinar Management

  • Host webinar kickoff calls with clients and speakers; manage all follow up and asset collection.
  • Build webinars in Zoom, including technical setup, speaker prep, and dry runs.
  • Run webinars live, providing white glove support to sponsors and speakers throughout.
  • Oversee the creation of all webinar invitation and promotional assets.
  • Track and maintain data for benchmarks, surveys, engagement metrics, and internal database use.
  • Manage all trackable link creation and performance reporting.
  • Produce comprehensive post webinar client reports.

Event Operations & Administrative Support

  • Ensure conference supplies, materials, and promotional items are ordered and delivered on schedule.
  • Print conference nametags, prepare shipping boxes, and coordinate logistics for each event.
  • Arrange team travel, including booking flights and ground transportation.
  • Track vendor invoices, maintain organized files, and coordinate with Billing for processing.
  • Collect sponsor logos and coordinate with design for inclusion in event sites and invitations.
  • Pull IOs from Salesforce, distribute them to the team, and accurately enter them into event master lists.

Qualifications

  • 5–7 years of experience in event marketing, event operations, or conference management.
  • Experience in the retirement industry (recordkeeping, asset management, advisory, insurance, or provider) strongly preferred.
  • Hands on experience with Cvent (registration, email campaigns, surveys, mobile apps) required.
  • Strong project management skills with the ability to oversee multiple events simultaneously.
  • Excellent communication and client-facing skills, particularly for sponsor-supported events and webinars.
  • Highly organized, deadline driven, and comfortable owning processes end to end.
  • Proficiency with Zoom webinar tools, Microsoft Office, and data tracking.
  • Ability to work collaboratively with editorial, design, sales, and leadership teams.
  • Thrives in a fast-paced environment, is highly organized, and can confidently manage multiple concurrent events, deadlines, and stakeholders.
