Pay Range

The Executive & Concierge Care Operations Manager provides strategic and day‑to‑day operational leadership for a high‑touch clinical practice serving executive and concierge care patients. This role is responsible for ensuring exceptional patient experiences, operational excellence, financial stewardship, regulatory compliance, and strong collaboration between clinical, administrative, and business partners. The Manager plays a critical role in aligning clinical operations with organizational goals while fostering a high‑performing, service‑driven team.

Essential Functions

  • Provide administrative direction and coordination in the development, interpretation, and implementation of short‑ and long‑range policies, procedures, and programs.
  • Plan, coordinate, and oversee all clinical, partnering with clinical leadership, and operational activities, including fiscal planning, budget preparation, and ongoing financial monitoring.
  • Prepare and manage departmental budgets; monitor, verify, and reconcile expenditures; review monthly financial statements and analyze variances.
  • Oversee purchasing of equipment and supplies and coordinate clinic maintenance and facility needs.
  • Manage day‑to‑day operations to deliver cost‑effective, high‑quality healthcare services.
  • Establish work schedules, task assignments, staffing plans, and resource allocation to ensure efficient patient care and adherence to service commitments.
  • Build and maintain strong cross‑functional relationships with providers, leadership, and key business partners to support operational, marketing, and business development initiatives.
  • Ensure patient care and service requirements are met by following clinical guidelines, supporting collaboration between clinical and administrative teams, and monitoring patient satisfaction.
  • Address and resolve patient complaints or concerns related to charges, care delivery, customer service, or operational issues.
  • Coordinate human resources activities in partnership with Corporate Human Resources, including recruiting, hiring, onboarding, training, performance management, coaching, corrective action, scheduling, and employee separations.
  • Prepare and contribute to operational and financial reports and analyses, identifying progress, risks, trends, and recommendations.
  • Support productivity goals by collaborating with providers to meet or exceed patient access and volume targets.
  • In collaboration with clinical leadership, ensure compliance with all applicable legal, regulatory, and accreditation standards, including OSHA, CLIA, HIPAA, and coding requirements, and support quality improvement initiatives.
  • Serve as a liaison among administration, providers, staff, and external organizations to facilitate communication, implement directives, and resolve issues.
  • Coordinate building maintenance needs and maintain safety and emergency preparedness plans, including fire, power failure, and inclement weather procedures.
  • Ensure all staff and resources operate in alignment with organizational values, policies, procedures, ethical standards, and business practices.
  • Perform other related duties as assigned to support operational effectiveness.

Education, Experience, Licensure & Certifications

  • Bachelor’s degree required.
  • Minimum of three (3) years of healthcare operations, clinical practice management, or business management experience; or an equivalent combination of education and experience.
  • Licensure, certification, or registration: Not required.

Skills & Qualifications

  • Excellent verbal, written, and interpersonal communication skills.
  • Strong knowledge of organizational policies, procedures, and healthcare operations.
  • Proficiency with computer applications including Microsoft Word, Excel, PowerPoint, Outlook, practice management systems, and electronic health records.
  • Demonstrated problem‑solving, analytical, and decision‑making abilities.
  • Highly self‑motivated, self‑directed, and capable of working independently or collaboratively.
  • Proven ability to build, lead, and motivate teams to achieve high levels of performance and service excellence.

Shift Details

  • Full‑time position.
  • Primarily weekday business hours, with flexibility to support operational needs, including occasional early mornings, evenings, or schedule adjustments as required.
