Compliance Administrative Assistant

The Administrative Assistant will support the assigned Compliance Project Manager or Compliance Manager/Director.


Essential Duties & Responsibilities

  • Data entry, gathering and updating tracking systems
  • Preparation of documents, reports
  • Document storage - cloud/shared drives (uploading, document management)
  • Process applicable Helpdesk tickets efficiently and promptly
  • HUD EIV reporting and tracking (if applicable)
  • Submission of agency's online reporting, as assigned
  • Utility analysis and scheduling, as assigned
  • Contract renewal support, as assigned
  • Auditing and analyzing data, as assigned
  • Software assistance and special projects
  • Monitor and assist with online verification access (Work Number) or On-site property support.
  • Marketing Plan support, as assigned
  • Assist with audits and reporting as needed, including collaborating with team members to gather necessary information and documentation.
  • Maintain effective communication with internal staff, fostering positive relationships.
  • Maintain positive, professional, and effective communication with onsite staff, Portfolio Managers, Operations, and Compliance team members.
  • Overnight and air travel may be required, with proper notice (if applicable)
  • Maintain a professional appearance at all times
  • Perform additional duties as requested by the Compliance Project Manager, Compliance Manager (if applicable) and Compliance Director.

Education & Experience

  • High School Degree or equivalent
  • Proficient in speaking, reading, and writing English
  • Proficient in Google Workspace and/or Microsoft Office Suite (Word, Excel, PowerPoint)
  • Competent analytical skills, detail-oriented, ability to prioritize and strong reporting ability
  • Previous experience in property management, hospitality, and general office experience is preferred
  • Knowledge and experience in affordable programs and multiple funding layers
  • Knowledge of LIHTC, HUD-Project Based Section 8, or other affordable housing programs
  • Proficient in Yardi Affordable and/or Real Page Software preferred
  • Valid driver’s license and insured operable vehicle
  • Travel - overnight and air travel may be required
