The Role
The Completions and Graduations Officer plays a crucial supportive role within the Academic Registrar’s Group, assisting in verifying completions for RMIT Vietnam students and collaborating on the coordination and delivery of formal graduation ceremonies across Vietnam campuses. This role underpins the efforts of the Completions and Graduations Coordinator, ensuring a seamless and efficient graduation experience by managing various administrative tasks related to completions and graduation. It guarantees the provision of accurate information and facilitates smooth communication between departments.
The Officer supports the efficient planning and execution of graduation activities, ensuring that students and staff receive precise and timely information about graduation processes, thereby enhancing the overall graduation experience..

Indirectly Reports to: Completions and Graduations Coordinator
Your Responsibilities
Assisting in determining the eligibility of students to graduate from their enrolled award program through collaboration with Schools, utilisation of RMIT’s various databases, student records and completions system. Complete students on the completions database and determine award levels.
Assist with paperwork and processes for Academic Schools and RMIT Colleges to address non-standard cases, ensuring program requirements are fulfilled and the integrity of RMIT awards is upheld.
Assist in collaborating with Melbourne-based teams on critical tasks related to award verification, management of the completions database, and graduation processes. This includes ensuring the availability of digital graduation documents, as well as overseeing the secure delivery, storage, and distribution of both digital and physical copies.
Contribute to the meticulous maintenance of student records, ensuring precision and reliability within SAMS and related database operations. This includes verifying data integrity, coordinating updates, and implementing quality control measures to support the accuracy and efficiency of completion processes. Collaborate with relevant departments to uphold data standards and ensure seamless integration and consistency across all systems.
Execute daily operational responsibilities, encompassing completion assessments, the certification of academic statements, and the verification of academic records. Additionally, manage and respond to inquiries from students and staff with professionalism and accuracy, ensuring the provision of precise information and effective resolution of concerns.
Assist the Coordinator in engaging with key internal and external stakeholders to facilitate the meticulous planning and execution of RMIT Vietnam graduation ceremonies. Additionally, participate actively in the planning, scheduling and delivering the graduation ceremonies across all campuses to ensure cohesive and successful events.
Assist in the production of graduation programs and ceremony paperwork, ensuring accurate and high-quality publications.
Assist in management of content, information, and guidance for graduating students and RMIT Vietnam staff. This includes providing clear and comprehensive information regarding completion and graduation processes, as well as event specifics. Additionally, contribute to the creation and maintenance of dynamic web content that effectively informs both students and staff about graduation-related matters, thereby fostering a positive and enriching graduation experience.
Assist in managing the graduation budget, tracking expenditures and contracts to ensure efficient resource use.
Collaborating with internal stakeholders across the student lifecycle and student services to deliver seamless, high-quality academic record support and processes.
Support in delivering other projects within ARG Vietnam as reasonably directed.
Key Selection Criteria
Hold a degree in a relevant discipline, such as Business Administration or Project Management.
Demonstrated experience in administrative roles, with a strong emphasis on ensuring compliance with established policies and procedures, alongside a proven ability to develop and enhance operational processes.
Proven ability to assist in managing, leading, or coordinating projects and events.
Familiarity with budget management practices and the ability to track expenditures and manage contracts effectively.
Strong commitment to delivering high levels of customer service and maintaining satisfaction.
Excellent organisational and prioritisation skills, with high attention to detail and accuracy.
Ability to work both independently and collaboratively within a team, effectively engaging with stakeholders across all organisational levels.
Proven attention to detail and accuracy in managing and reporting information.
Demonstrated proficiency in standard office software, with exceptional skills in Excel and Word for data management, analysis, and documentation. Experienced in the use of databases and online records systems.
Ability to display appropriate behaviours in line with the position and RMIT Values.

English Proficiency
English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 6.0 (or equivalent CEST 160).
