Lloyd’s are seeking to recruit a Company Secretarial Associate, Oversight Governance to support the provision of a first class company secretarial service to Lloyd’s governing committees and the management and operation of a robust governance framework.

The successful candidate will act as the Secretary to the Business Opportunities Committee (BOC), as well as support the Market Oversight Group (MOG) and Capital & Planning Group (CPG), and be accountable for supporting the delivery of an operational excellence framework for key oversight processes ensuring that effective processes, tools, communication, technology and ways of working are in place to build alignment of core oversight activity and ensure that a culture of continuous improvement is developed and adopted across the Market facing divisions. It is an opportunity to work with multiple teams and C-suite members across the Corporation.

Key Accountabilities:

  • To support the provision of secretarial activities for meetings of the BOC, CPG and MOG including (but not limited to) scheduling meetings, tracking quorum, preparing meeting packs using PowerPoint, Diligent BoardBooks or other as required, maintaining and monitoring action tracking on a rolling basis, attending and taking the minutes ensuring they are appropriately reviewed and signed off.

  • To support senior team members in ensuring that the governance arrangements for Lloyd’s are conducted in accordance with Lloyd’s constitutional arrangements, best practice and any applicable law or regulation.

  • Provide proactive principal support to senior team members to deliver Corporate and Departmental projects, providing subject matter advice on Lloyd’s constitution and governance as required including preparation of draft materials for approval by senior team members.

  • Deliver a key process as part of the Secretariat to the Capital and Planning Group (CPG) that approves annual syndicate business plans and capital setting. Involvement with a variety of workstreams, working closely with different Corporation teams and leaders to ensure that CPG tasks are planned, scoped and delivered by deadlines and in line with requirements. Coordination of all outputs to all relevant stakeholders (internal and external), custodian in ensuring there is good communication to all stakeholders and a robust audit trail of Group activities.

  • Deliver a key process as part of the Secretariat to the Capital and Planning Group (CPG) that approves annual syndicate business plans and capital setting. Involvement with a variety of workstreams, working closely with different Corporation teams and leaders to ensure that CPG tasks are planned, scoped and delivered by deadlines and in line with requirements. Coordination of all outputs to all relevant stakeholders (internal and external), custodian in ensuring there is good communication to all stakeholders and a robust audit trail of Group activities.

  • Assist the team in ensuring that appropriate mechanisms are in place to promote communication and information sharing within Market Oversight and more widely across the Corporation, using a number of internal collaboration tools (including SharePoint sites), reports and presentations.

  • Responsibility for maintaining and updating relevant information available to external stakeholders to ensure this is accurate and up to date at all times.

The successful candidate will have experience in the following areas:

  • Managing and organising meetings with large number of executive level stakeholders and monitor attendance and quorum

  • Expertise in taking minutes

  • Acting as the first point of contact for key processes

  • Drafting high quality meeting minutes

  • Collating and preparing packs for the various Committees

  • Noting and tracking actions points during meetings

  • Microsoft Office skills, including Excel and PowerPoint.

  • Ideally experience with Diligent, but not essential

  • Managing the team’s Sharepoints, including documents and minutes.

  • Communication skills across a variety of different formats
