Purpose of the Job
The Community Event Activation Coordinator is primarily responsible for planning, coordinating, and executing Truliant’s activation areas at the Truliant Amphitheater throughout the entire concert season. This role serves as the single point of contact and accountability for onsite activations and guest engagement, ensuring consistent execution, operational efficiency, and a strong, cohesive brand presence at every event.
The Community Event Activation Coordinator works collaboratively with Live Nation, internal teams, employee volunteers (brand ambassadors), and venue partners. This role provides onsite leadership, manages logistics and staffing, and ensures brand standards are consistently represented across all activation and brand engagement areas. Through continuous evaluation and improvement, the position helps maximize the impact, efficiency, and value of Truliant’s concert activations while strengthening relationships and enhancing the overall guest experience. During non-concert days and during the off-season, this role supports the broader community engagement and marketing strategy by providing planning, operational, and execution support across community events, sponsorships, and outreach initiatives.
Essential Functions and Responsibilities
- Manages the planning, coordination, and overall execution of Truliant concert activations and guest engagement to ensure consistent delivery, operational efficiency, and brand alignment.
- Leads all pre‑event planning activities, including activation logistics, timelines, staffing plans, and coordination with external partners and assigned employee volunteers.
- Manages all Truliant employee scheduling, ensuring six (6) to seven (7) employee volunteers are assigned per concert.
- Ensures employee volunteers are trained, equipped, and positioned in designated areas within the venue.
- Serves as the primary point of contact for employee volunteers, providing onsite direction, role assignments, and support during each event.
- Oversees onsite setup, execution, and breakdown of Truliant activation areas, including the Truliant VIP Lounge, social media photo area, giveaway stations, and Fast Lane presence.
- Coordinates and collaborates with Live Nation and venue operations staff to align on event logistics, space requirements, access, and onsite needs before and during events.
- Coordinates the availability, inventory, and onsite deployment of giveaways, promotional items, and marketing collateral.
- Partners closely with Marketing to ensure all branding, promotional materials, and social media photo elements are prepared, compliant with brand standards, and consistently represented onsite.
- Tracks attendance, participation, and activation effectiveness where feasible to support reporting and post‑event evaluation.
- Monitors onsite activation performance and guest engagement to recommend enhancements to activation strategy, staffing, and guest experience.
- Develops, maintains, and serves as the owner of activation process documentation and best practices.
- Contributes to off‑season planning, evaluation, and readiness efforts to strengthen future concert activations and community engagement strategies.
- Provides onsite and logistical support for sponsored events, nonprofit engagements, and outreach initiatives during non-concert days and during the off-season. May support other business initiatives.

- Must have a sound understanding of standard concepts, practices, procedures, and compliance considerations related to event activation, marketing, sponsorship fulfillment, and community engagement.

- Must be able to complete assignments with minimal supervision and exercise sound judgment during onsite decision-making and planning coordination.
- Must possess a strong commitment to providing excellent service and positive experiences for Truliant members, event guests, and community partners.
- Must have excellent presentation and public speaking skills.
- Must have intermediate skills in MS Office, including Excel, Word, and PowerPoint.
Physical Requirements
- Frequent standing and walking for extended periods: required, including navigating a large outdoor venue and uneven surfaces.
- Occasional bending, stooping, reaching, and light manual tasks related to event setup, breakdown, and onsite adjustments.
- Must be able to lift, carry, or transport activation materials, moderately lifting or moving up to 5 pounds and occasionally lifting or moving up to ten pounds.
- Ability to work non‑traditional hours, including evenings, weekends, and holidays, throughout the concert season: required.
- Moderate travel: required.
Education and Background
- Bachelor’s degree in Marketing, Business, Communications, Event Management, Hospitality Management, Sports Management, or a related field, or equivalent combination of education and relevant work experience required.
- Minimum 3 years related experience in event activation, experiential marketing, sponsorship fulfillment, venue operations, or large-scale event coordination required.
- Demonstrated experience managing onsite event logistics and activations for live events, concerts, sports, or community programming required.
- Proven ability to coordinate cross‑functional teams, including internal staff, volunteers, vendors, and external partners, in fast‑paced, live‑event environments required.
- Strong working knowledge of brand activation, sponsorship fulfillment, and guest engagement strategies preferred.
- Experience collaborating with marketing teams on branded environments, signage, giveaways, and promotional materials preferred.
- Prior experience working with entertainment venues, amphitheaters, festivals, or sports organizations preferred.
- Familiarity with event reporting, post‑event recaps, and activation performance tracking preferred.
