Purpose:
To deliver strategic administrative and operational support to the commercialization team, driving the efficient execution of commercial initiatives and achievement of business objectives. This role harnesses advanced digital platforms, AI-driven analytics, and robust data management practices to optimize processes, generate actionable insights, and enable informed decision-making across all commercial activities.
Key Responsibilities:
Participate in the brand planning process analysis to identify customer insights needs and ensure Market Research initiatives are consistent with Brand plan
Coordinate market research plans with LATAM to avoid overlap/duplications
Coordinate and participate in the presentation of market research studies results to the appropriate audience
Be a liaison between Marketing and External Market Research Consultants
Be proficient in Quantum to ensure everything complies with BMS standards before starting Market Research
Oversee Strat & Ops and BL calendar management, meeting coordination, travel arrangements, and document handling to ensure seamless team operations.
Support Strat & Ops Assoc Dir in creating, maintaining and monitoring departmental service orders, vendors SOW and Icertis repository documentation.
Support financial processes, on behalf of Brand Leads and Strat & Ops Assoc Dir, including but not limited, expense submissions, purchase orders, invoicing, and budget tracking in Compass and RPM for team initiatives.
Train and guide internal stakeholders on creating check requests and ensure all documentation is uploaded in SAP before proceeding.
Build and maintain Strategy and Operations SharePoint and Task List, as well as oversees BU budget.
Work closely with marketing teams to understand their objectives and requirements for campaign or congress to build a feasible project management scope and tool.
Supports Brand Teams with Service Orders, Sample Management and Speaker Bureau Financial Alignment.
Meet with media agencies to conduct budget recap and adjust PO’s as needed. Ensure every PO is open in compliance and with all the required documentation
Develop detailed project plans and timelines that outline all tasks, milestones, and deadlines.
Drive execution of launch plans and commercial campaigns by managing timelines, deliverables, and stakeholder communications.
Facilitate regular meetings and communication between cross-functional teams to ensure that everyone is aligned and working towards the same goals with each project.
Monitor progress against project plans and timelines and take corrective action as needed to keep projects on track.
Effectively manage relationships with internal stakeholders, external vendors, and partners involved in the BMS PR operation.
Ensure clear communication and alignment throughout the project’s planning and execution process.
Act as a liaison for internal and external stakeholders, addressing inquiries, RFP proposals, resolving issues, and coordinating high-impact engagement sessions across diverse audiences.
Be proficient in supporting internal stakeholders in creating SOW, uploading documents in Incertis and navigating any other operational BMS platform
Coordinates the validation and sharing of Commercial and Medicare rebate documents and payment details for BMS Puerto Rico on a quarterly basis, ensuring timely distribution to relevant finance and operations personnel for approval and signature.
Provides the required validation documents for both Commercial and Medicare rebates, facilitating compliance and accuracy in rebate processing.
Ensures SAP payment information is included, and all necessary approvals are obtained on schedule to prevent penalties and late fees.
Ensure all activities comply with corporate policies, regulatory requirements, and applicable laws, maintaining accurate documentation for audit readiness.
Utilize AI-driven tools and analytics to optimize business operations, streamline processes, and generate actionable insights that support decision-making.
Maintain and update sales databases, track key performance metrics using available dashboards, and prepare insightful reports and presentations for leadership and team meetings using BMS AI tools.
Ensure data integrity, compliance, and security across all platforms and reporting systems.
Plan and execute internal and external events—such as training sessions, workshops, commercial engagements, covering logistics and communications.
Work with cross-functional teams, including creative, digital, and event teams, to ensure the successful execution of congresses.
Facilitate effective communication and collaboration between teams to ensure all aspects of the congress are executed on time and meet quality standards.
Maintain a high standard of quality for all deliverables associated with the congress.
Review and approve materials to ensure they meet the required standards and align with the objectives of the congress.
Maintain accurate documentation related to congress planning and execution, including project plans, meeting minutes, and status reports.
Identify opportunities for process improvements and efficiencies in congress management. Implement best practices and lessons learned from previous congresses to enhance future events.

Compensation Overview:
The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay rate takes into account characteristics of the job, such as required skills, where the job is performed, the employee’s work schedule, job-related knowledge, and experience. Final, individual compensation will be decided based on demonstrated experience.
