Position Summary:
The Commercial Coordinator plays an important cross-functional support role within the Commercial division, providing administrative, reporting, and coordination support across Catering, Sales, Food & Beverage, and Marketing. This position supports the Commercial Director, Catering and Sales, and select commercial-related administrative needs of the Director of Food & Beverage. The role is primarily responsible for supporting RevPlan catering and outlet forecasting, data entry, reporting accuracy, and general administrative coordination tied to commercial performance. In addition, this position provides day-to-day administrative support to the Sales team as assigned by the Commercial Director. The Commercial Coordinator also supports the Restaurant & Bar Marketing team with menu edits, menu updates, and social content coordination to ensure all guest-facing materials are accurate, timely, and aligned with brand standards.
This is an ideal role for a highly organized, detail-oriented, creative, and commercially minded individual who enjoys working across revenue strategy, sales support, food and beverage operations, and marketing.
What we expect:
Job duties include but are not limited to:
Commercial Reporting & Forecasting Support
Support weekly and monthly RevPlan processes for Catering and Food & Beverage outlets
Assist with outlet forecasting, pace tracking, data collection, and input accuracy
Maintain reporting tools, trackers, and recaps related to catering and F&B performance
Help compile commercial data for meetings, presentations, and business reviews
Partner with the Catering team and Commercial Director to ensure timely and accurate reporting
Assist with budget and forecast preparation related to catering and restaurant performance
Monitor trends, pickup, and business pace, escalating discrepancies or opportunities as needed
Restaurant & Bar Marketing Support
Support the Restaurant & Bar Marketing team with menu edits, formatting, proofreading, and version control
Coordinate timely menu updates across internal and guest-facing platforms
Assist with the development and organization of social content for restaurant and bar promotions
Support content calendars, asset collection, and coordination with operational teams
Help ensure all marketing materials reflect brand standards, current offerings, and accurate outlet messaging
Assist in the execution of promotional initiatives, seasonal programming, and outlet campaigns
Sales & Catering Administrative Support
Support the Sales and Catering team with administrative and commercial tasks as assigned by the Commercial Director. Responsibilities include preparing proposals, presentations, contracts, correspondence, client materials, and site inspection documents; maintaining organized files, account information, trackers, and templates; and assisting with data entry, reporting, follow-up, and internal coordination to ensure deadlines are met and materials are delivered accurately and professionally.
Food & Beverage & Commercial Administrative Support
Provide administrative support for commercial-related tasks connected to the Commercial Director and F&B Director
Assist with document preparation, internal recaps, meeting materials, and follow-up coordination
Help ensure alignment and consistency across key commercial initiatives and administrative processes
Preferred Qualifications
Bachelor’s degree required, preferably in Business Administration or a related field
Previous experience in hospitality, food and beverage, catering, marketing, or commercial administration preferred
Strong administrative and organizational skills with exceptional attention to detail
Comfort working with reports, spreadsheets, forecasting tools, and data entry
Strong written communication skills with the ability to proofread and edit accurately
Ability to manage multiple priorities and work across several departments simultaneously
Professional, collaborative, and proactive approach
Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook
Proficiency in Canva or Adobe InDesign preferred
Experience with forecasting systems, reporting tools, social media coordination, or menu management is a plus
Passion for luxury hospitality, food and beverage, and brand storytelling
