Job Description

The Clinical Scheduler supports patient access for complex specialty services by combining advanced scheduling responsibilities with clinically informed decision-making. This role requires CMA or LPN licensure to ensure appointments are scheduled safely, appropriately, and in alignment with clinical priorities. Schedules patients in accordance with established clinical and operational policies, ensuring accurate, timely, and clinically appropriate appointment placement. Reviews referral information, provider orders, diagnostic results, and clinical documentation to confirm correct service, provider, and urgency level. Verifies demographics, insurance, and authorization requirements to support compliant billing and continuity of care. Coordinates provider schedules across multiple locations, managing daily changes such as urgent add-ons, provider-directed cancellations, and rescheduling. Applies clinical judgment to balance access needs with patient safety and clinical appropriateness, collaborating closely with nursing and provider teams. Serves as a clinical liaison for patient inquiries related to symptoms, procedures, and scheduling concerns. Utilizes medical terminology and clinical knowledge to identify red flags, route concerns through established triage pathways, and ensure timely escalation to nursing or provider staff when indicated. Supports clinically appropriate sequencing of care, including coordination of clinic visits, diagnostic testing, and procedures based on clinical context and provider guidance. Monitors scheduling work queues to ensure referrals and orders are complete, accurate, and clinically actionable. Performs delegated clinical support activities within scope of licensure and demonstrated competency, which may include pre-visit planning support, pending medication refills for provider review, maintaining clinical supplies, and assisting with care coordination documentation. Contributes to the evaluation of the plan of care by gathering, observing, recording and communicating patient responses to nursing interventions. Implements interventions that are assigned, ordered or prescribed by licensed practitioner or registered nurse. Observes patients, documents and reports changes in patient conditions, such as adverse reactions to medication or treatment, and takes any necessary action. Maintains compliance with regulatory, licensure, HIPAA, and organizational standards. Demonstrates accountability for patient safety, confidentiality, accuracy, and high-quality service while working collaboratively with PAS, nursing, and provider teams to support efficient and clinically sound access to care.

Qualifications

Post-secondary education or equivalent training in a healthcare field or Associate’s degree in practical nursing is preferred. Must be a graduate of a recognized Medical Assistant program or must have graduated from a school or college of nursing program leading to licensure as a Licensed Practical Nurse.

One year of related experience desired. Previous customer service experience in an office setting, preferably in a healthcare setting. Knowledge of registration procedures, extensive computer skills, and basic knowledge of system applications, billing systems, and third party payers is preferred. Medical terminology desired.

For CMA: Certification (CMA) obtained through a nationally approved certification program for medical assistant, including but not limited to: American Associate of Medical Assistants (AAMA), Certified Clinical Medical Assistant (CCMA) through the National HealthCareer Association (NHA), Clinical Medical Assistant Certification (CMAC) through the American Medical Certification Association (AMCA), or National Certified Medical Assistant (NCMA) through the National Center for Competency Testing (NCCT), etc. Registration (RMA) obtained through the American Medical Technologists (AMT) also acceptable. Additional state requirements include: North Dakota (ND) registration as an MAIII through the ND Board of Nursing. MAs working within Minnesota (MN), Iowa (IA), South Dakota (SD) and Oregon (OR) do not require state registration. For LPN: Requires current licensure as a practical nurse in the state/states of practice.
