About the Position
The Associate Registrar for Student Records reports directly to the Registrar and collaborates closely with the Provost’s Office, college Faculty, the Deans of the College, the College Business Office, the Office of Admission, as well as allied offices at Bryn Mawr College as necessary, and represents the Registrar's Office on campus committees, initiatives, and projects. The Associate Registrar follows industry standards for handling student records, processing data, and managing curricular and degree processes in a secure, accurate, and timely manner.
Primary Responsibilities
- Assist with the oversight and management of student records-based operations within the Registrar's Office using PeopleSoft Campus Solutions
- Work with the Registrar on developing and delivering new services by setting office goals and priorities
- Install best practices to enhance office efficiency
- Support curricular/registration operations: build class schedule (academic and non-academic) to prepare for student registration, set up class lottery system/configure registration processes
- Manage typical student record operations: transcript requests, transfer credit evaluations (study abroad, transfer admissions), enrollment certifications, course adds, drops, and withdrawals; track incomplete grades
- Perform academic advising as it relates to student general degree requirements
- Work closely with the President and Communications Offices on graduation operations; serve on the Commencement Committee; track degree requirements, online graduation application, order diplomas, commencement book, and departmental honors tracking
- Ensure accurate and timely reporting to relevant, regulatory external agencies (NCAA, National Student Clearinghouse, IPEDS, etc.) and consistent enforcement of internal college policies
- Assist with PeopleSoft degree audit structures and queries
- Assist with system patch and user acceptance testing
- Maintain FERPA guide and the processes surrounding the confidentiality of student records
- Collaborate, communicate and provide strong customer service across the College community
- Fulfill varied data requests from across the College
Line of Report: The Associate Registrar for Student Records reports to the Registrar.
Minimum Qualifications
- Bachelor’s Degree
- Seven years’ experience in a higher education Registrar’s Office, or equivalent setting
Professional Competencies
- Ability to work both independently and collaboratively with various college stakeholders
- Excellent verbal and written communication skills
- Excellent attention to detail
- Experience managing Student Information Systems (SIS)
- Experience working with the National Student Clearinghouse
Preferred Qualifications
- Master’s Degree
- Exposure to PeopleSoft Campus Solutions
- Exposure to Workday and/or Workday Student
- Data literacy, analysis
- Knowledge of SQL or Visual Basic
- Notary Public certification or ability to obtain certification
- Academic Assessment practices
