Overview: 

We are seeking a proactive and reliable administrative supervisor to manager office administration functions and staff, ensuring smooth and efficient office operations. This role involves planning and coordinating events, managing administrative services, handling travel arrangements, overseeing the department budget, expanding employees travel benefits, and implementing cost-saving initiatives. The ideal candidate will also provide operational support to various departments and lead projects when necessary. 

 

Job Responsibilities: 

  • Oversee daily office admin functions to ensure employee satisfaction and operational efficiency. 
  • Manager travel platforms and vendors, and when necessary, coordinate travel arrangements for employees. 
  • Ensure smooth office operations through effective administrative service managements.
  • Oversee the quality and budget of employee lunch and snack services.
  • Support external personnel (such as expatriates) by managing admin services and organizing events to integrate them with local employees. 
  • Coordinate government grant applications related to site operations. 
  • Lead on-site events, including public relation and government-related activities such as parties, celebrations, conferences, and other company events.
  • Manage office supplies, including furniture and other assets, ensuring proper asset management and compliance with policies. 
  • Supervise billing reimbursement, file, and data management, creating presentations and management-level reports.
  • Provide support in the absence of team members, covering tasks as needed.

 

Qualifications:

  • Bachelor's degree with 3+ years of experience in office operations management or a similar administrative role.
  • Experience leading projects and managing teams in an administrative setting.
  • Strong proficiency in MS Office Suites (MS Excel and MS Outlook); experience with office productivity tools and software. 
  • Excellent time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously in a fast-faced environment. 
  • Strong attention to detail and problem-solving skills, focusing on continuous improvement, collaboration with internal and external stakeholders. 
  • Strong organizational and planning abilities, with experience coordinating complex events and handling logistics.
  • Experience managing budgets and implementing cost-saving within an administrative or office setting.
