Position Overview
The Intern Administrative Support, supports in a variety of duties in the commercial organization to streamline business processes and drive efficiencies. This position provides administrative support related to a variety of areas, including managing calendars, compiling, and analyzing data, support to organize events and Commercial meeting logistics, functional budget processes (Volume and OPEX) and serving as a support for contracts with vendors facilitating the approval process and PO tracking status.
Given the nature of the function, integrity and ability to maintain confidentiality is key to the success of the position.
This position is office based In Exact Office in Milan, Italy
Essential Duties
- Support internal and external requests and proactively manage cadence for standing meetings (one-on-ones, team meetings, etc.); Support Budget Processes and other tasks.
- Support record-keeping through management of an efficient communication and organizational system.
- Support the administrative, technical, commercial aspects of the tender process and the stipulation of supply contracts.
- Support people in the processes related to management of contracts and purchase requisition requests with vendors. Receive all commercial invoices, assign appropriate purchase order and work with appropriate owner to get final approval to process.
- Maintain documentation and tracking system of purchase orders for vendors to keep team informed of status and history.
- Support preparation and presentation materials for meetings.
- Support organization for internal and external commercial events, which may include venue contracting, food and beverage coordination, entertainment & attendance tracking.
- Support assistants and Coordinators from multiple functions internally and with partners externally
- Support team communication efforts by authoring or editing team or company-wide communications.
- Support in project teams cross-business unit initiatives, as needed.
- Communicate and collaborate cross functionally and within commercial team.

- Strong interpersonal and teamwork skills; ability to easily convey concepts and priorities, as well as ability to solicit feedback and inputs.

Minimum Qualifications
- Bachelor’s degree in business administration, Administrative support or field as outlined in the essential duties or High School Diploma/GED and 1 years of experience relevant experience as outlined in the essential duties in lieu of Bachelor’s Degree.

The annual base salary shown is a national range for this position on a full-time basis and may differ by hiring location. In addition, this position is bonus eligible, and is eligible to receive company stock upon hire as well as annually.
